About the Role
This position reports to the Controller and will provide diversified administrative support to various functions within the facility. The role is responsible for answering company phones and greeting visitors, serving as the first point of contact for visitors and callers.
Responsibilities
- Answer and route phone calls, respond to inquiries, and manage incoming and outgoing mail or packages.
- Prepare communications such as memos, emails, invoices, or reports; draft, edit, and proofread correspondence, reports, and memos.
- Prepare new hire orientation packets as needed.
- Perform basic bookkeeping.
- Provide administrative support to Accounting, Human Resources, and Site Leadership.
- Assist with special projects, conduct candidate phone screens, schedule appointments and interviews, assist with event planning, and coordinate meetings and food deliveries.
- Monitor office supply levels, anticipate needs, and place orders to ensure the office is fully stocked.
Requirements
- Proven experience as an administrative assistant, office assistant, or in a relevant clerical role.
- Proficiency in office software (Microsoft Office Suite).
- Exceptional organizational and time-management abilities.
- Strong verbal and written communication skills.
- Professional demeanor and appearance.
- High school diploma or equivalent.
Skills
- Language Skills: Excellent speaking and phone communication skills. Ability to read and interpret documents. Ability to write routine correspondence and reports.
- Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure.
Physical Demands
- Prolonged sitting, talking, and hearing.
- Regularly required to stand and walk.
- May occasionally be required to commute to pick up supplies.
- Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Work Environment
Most work takes place at the front reception area and desk. The employee may occasionally be exposed to wet and/or humid conditions and moving mechanical parts.
