Responsibilities
- Performs highly diversified administrative duties in support of Galen’s executives and administration, including program and project administration.
- Uses independent judgement to determine when to act for management and when to refer problems for personal attention.
- Prepares and modifies routine/non-routine and internal/external correspondence, memos, documents, reports, meeting notices, and presentations using word processing, spreadsheets, graphics, and/or publishing software.
- Maintains a library of prepared materials and ensures accurate record and file maintenance (electronic and hard copy).
- Coordinates and schedules meetings, appointments, and calendars, including on-campus student events and social activities.
- Makes meeting preparations, including agendas, supplemental documents, conference space scheduling, meeting minutes, and refreshments.
- Makes travel reservations and prepares expense reports following College policy.
- Screens incoming mail and faxes, categorizing and prioritizing responses, and prepares responses for signature.
- Orders, prepares, and organizes equipment and supplies as needed.
- Other duties as assigned.
Requirements
- High school diploma or GED with appropriate technical knowledge or equivalent experience.
- Intermediate computer skills, including proficiency in Microsoft Office Products (Word, Excel, PowerPoint, etc.).
- Ellucian Colleague experience is a plus.
- Able to effectively prioritize workload and demonstrate strong communication skills.
Work Environment
- Sedentary office and classroom work with occasional lifting and/or carrying of records, files, and books (10 pounds maximum).
- Frequent operation of standard office equipment such as phone, computer, projector, Scantron, and printer/scanner.
- Physical demands may include lifting, pulling, pushing, kneeling, stooping, crouching, and bending.
