Administrative Assistant
Purpose Statement/Position Summary
The Administrative Assistant provides area and service support under supervision, helping to run the department’s workplace as a robust business function, including a wide range of customer services and secretarial activities related to the day-to-day operations of the office, managing department expenses and invoices, organizing and maintaining files, meeting and event planning, document services, reception and floor support. This position would provide support to two programs at the Division of Adolescent and Young Adult Medicine: Pregnancy Prevention, Education, and Support Programs (PPESP) and the Substance Use Prevention & Treatment (SUPT) Program. PPESP is accountable for providing both pregnancy prevention education and support of pregnant and parenting teens. SUPT provides both prevention work around substance use and treatment to youth leveraging some of the more effective ways of addressing drug and substances abuse and misuse among teens. The Administrative assistant will be responsible for multiple grants within the two programs requiring extensive organization.
Required Minimum Qualifications/Work Experience
- 2+ years of professional office experience.
- Advanced secretarial and administrative experience.
- Preferred: Attention to detail and problem solving skills.
- Excellent written and verbal communication skills.
- Able to multitask and prioritize work.
- Strong organizational and planning skills.
- Catering and meeting planning and support.
Education/Licensure/Certifications
- High School Diploma, GED, or equivalent.
- Bachelor’s degree preferred.
