Administrative Assistant/Accounts Payable

About the role

This on-site, full-time Administrative/Accounts Payable Assistant position supports the Austin branch of Roto-Rooter, North America’s largest plumbing, drain cleaning, and water cleanup services provider. The role ensures smooth and accurate office operations while providing administrative support to the management team, including invoice processing, payment execution, vendor statement reconciliation, and compliance audits.

Responsibilities

• Interface with Corporate Home Office personnel to answer employee questions and maintain communication between customers, management, office staff, and service technicians.
• Compute payroll for office staff and resolve discrepancies with the payroll representative.
• Receive, review, and verify incoming vendor invoices for accuracy, completeness, proper authorization, and coding.
• Serve as the primary contact for vendors, addressing payment inquiries and resolving issues.
• Ensure timely and accurate payment processing for invoices.
• Manage accounting transactions required for accurate payables reporting.
• Enforce proper administrative procedures and policies.
• Assign tasks and shifts to office staff, ensuring coverage and training as needed.
• Communicate with customers, including resolving service complaints.
• Perform additional office duties as required.

Requirements

• Demonstrated prior experience in accounts payable or accounting (accounts receivable experience is highly preferred).
• Proven ability to thrive in a fast-paced environment.
• Excellent oral and written communication skills.
• Working knowledge of common software programs.
• Self-starter with strong organizational, attention to detail, and follow-up skills.

Pay

Hourly pay range: $20.00–$24.00, depending on experience.
