Responsibilities

  • Maintain and organize operational records, invoices, renewals, and supporting documents to ensure accurate and timely processing.
  • Review transportation-related data, perform audits, and investigate discrepancies to help resolve issues and improve reporting accuracy.
  • Support compliance activities by tracking approvals, monitoring required documentation, and helping align records with internal standards and government program requirements.
  • Use web-based applications and monitoring tools to oversee operational status, identify exceptions, and escalate concerns when needed.
  • Cook with internal departments, external vendors, and transportation partners to address administrative and service-related matters.
  • Prepare recurring reports on a monthly basis, summarize findings, and provide documentation that supports operational decision-making.
  • Aid with tractor, linehaul, and transportation service administration by following established methods and completing required support tasks.
  • Provide general administrative assistance, including written communication, record updates, and follow-up on outstanding items through completion.

Requirements

  • Experience in administrative support, transportation operations, systems administration, or a related business function.
  • Strong documentation skills with the ability to manage records, invoices, audit materials, and compliance-related information accurately.
  • Proficiency with Microsoft Office Suite and confidence using web-based applications and operational monitoring tools.
  • Ability to analyze data, perform audit checks, and identify issues that require correction or escalation.
  • Effective written communication skills and the ability to work with internal teams, vendors, and external agencies professionally.
  • Strong time management skills with the ability to handle multiple priorities and meet recurring deadlines.
  • Knowledge of transportation services, approval workflows, and compliance practices is preferred.
  • High attention to detail and a consistent approach to following procedures and maintaining accuracy.
