Administrative and Communications Assistant

About the role

The primary responsibility is to communicate with employees through internal communication channels such as company newsletters, digital signage, the intranet, and internal social media. This position also provides administrative support to the organization and senior leaders, supports employee engagement activities, and assists with company events.

Responsibilities

  • Prepare and edit organizational publications for internal audiences, including the company newsletter and contributions to Toray People magazine as requested.
  • Administer the CMA Company Shop and Toray/CMA logo guidelines and products.
  • Administer corporate website pages assigned to General Affairs, such as Facebook and LinkedIn.
  • Provide support and assistance for Community Social Responsibility activities, such as Science class, as directed.
  • Administer donation campaigns such as United Way, Charity Pet Calendar, School Supply Drive, and more.
  • Provide support to execute the technical annual confidential audit.
  • Take meeting notes for EVP and General Affairs meetings as assigned.
  • Provide support and assistance for planning and execution of company-wide events.
  • Provide backup assistance for receptionist duties as requested.
  • Attend the safety committee and communicate meeting minutes and important topics with the GA team.
  • Provide general support to General Affairs staff as necessary.

Requirements

  • High School Diploma or equivalent required; Associate Degree in Graphic Design/Art/Communications desired.
  • Proficiency in In-Design, Photoshop, Illustrator, and other similar programs required.
  • Personal experience with Microsoft Office applications (Word, Excel, PowerPoint).
  • 2-3 years of administrative experience desired.
  • Working knowledge of Japanese business customs and culture desired.
  • Familiarity with Japanese customs and cultures.
  • Advanced editing skills.
  • Ability to maintain confidentiality of sensitive information.
  • Strong organizational skills and high attention to detail.
  • Ability to work well under deadlines and set priorities.
  • Self-motivated with the ability to take initiative.
  • Collaborative team player with a positive attitude.

Skills

  • Ability to utilize and operate a computer, peripheral equipment, and software programs.
  • Ability to read, write, speak, and understand English at a level necessary to perform assigned responsibilities.
  • Ability to hear, speak, use hands/fingers, and perform repetitive motions of hands/wrists.
  • Ability to occasionally lift up to 40 pounds.
  • Ability to be physically mobile and wear Personal Protective Equipment as necessary.

Pay

Salary Range: $24.36 - $31.00 per hour.
