About the role
The Admin Specialist II or III position at Peoples Gas System is designed to support managers and senior staff by handling administrative tasks and providing guidance to less experienced staff. The role requires a combination of administrative skills and the ability to manage complex processes.
Responsibilities
- Handle non-routine external and internal calls and inquiries, first-level support for problem resolution, compose and type routine letters and memoranda, and answer routine correspondence.
- Respond to somewhat complex administrative department or unit functions for review by supervisor, coordinate with other support staff, and provide guidance to less experienced administrative staff.
- Manage records and files, coordinate budget preparation, perform variance analysis, project forecasts, track, schedule, and report information, and prepare special reports and analyses.
- Ensure compliance with regulations and procedures, assist in the coordination, tracking, and completion of compliance projects, and maintain compliance records.
- Train less experienced staff on various assignments to ensure consistency and assist in leading work groups or teams to accomplish company objectives.
Requirements
- Admin Specialist II: High School Diploma or GED, 2+ years of work experience as an Administrative Specialist (Level 2) within TECO PGS, or 4+ years of administrative support experience in a utility environment.
- Admin Specialist III: High School Diploma or GED, Business Administration or Secretarial courses beyond high school, 2+ years of experience as a PGS Senior Administrative Specialist, or 6+ years of related administrative support experience in a utility environment.
Qualifications
- Associate’s degree from an accredited college/university.
- Some locations may benefit from bi-lingual skills.
- Knowledge of Company administrative policies and procedures, local operations, Company transaction codes, and Peoples Gas geographic territory.
- Experience with utilities operations specific software systems, such as PowerPlant, CIS/CRM, GIS.
- Knowledge of Company budgetary methodology and procedures, and other company policies.
Skills
- Sound discretion and judgment when screening visitors and telephone calls, scheduling appointments, and organizing workload.
- Advanced computer software skills, including the ability to originate reports for management, compose diversified internal and/or external correspondence, update functional unit manuals, maintain logs, prepare documentation, reports, charts, tables, forms, and budgets.
- Prioritize daily work to determine level of urgency and establish due dates.
- Train less experienced staff on various assignments to ensure consistency and facilitate/support work groups or teams.

Schedule
8-hour shift, 5 days per week.
Incident Response Assignment
As a Team Member of Peoples Gas, you will be assigned an Incident Response Assignment, receive training related to your role, and may participate in mock drills or exercises simulating various emergency scenarios.
