CU Book Store in Boulder is seeking an Academic Resources Assistant Manager. This role primarily supports the management of the Academic Resources department, overseeing CU Book Access order fulfillment, procurement and return of physical materials, in-store pick-up operations, and the textbook floor setup and maintenance. The position also serves as the primary backup for the Academic Resources Manager.

Responsibilities

  • CU Book Access Order Fulfillment Management
    • Manage the CU Book Access order fulfillment process, ensuring tasks align with established guidelines and procedures.
    • Review and update guidelines and procedures to improve efficiency and customer satisfaction.
    • Monitor the order queue to ensure timely fulfillment and resolve issues as they arise.
    • Submit and follow up on detailed Service Requests for issues in NetSuite ERP and Honeywell handheld devices related to order fulfillment.
    • Develop and implement a staffing plan for the back-to-school period, adhering to budget and communicating it to the Customer Service Manager.
    • Partner with IT to suggest changes or updates to NetSuite ERP to enhance processes, functionality, and efficiencies in order fulfillment.
  • Physical Course Materials Procurement, Returns & Sell Back
    • Use course adoption data to procure physical materials at the best possible price.
    • Determine correct markup for each title and ensure cost and pricing data are up to date in the ERP.
    • Meet regularly with publisher and wholesaler representatives to resolve issues and obtain needed materials.
    • Track purchase orders to ensure timely arrival or arrange alternatives for late materials.
    • Obtain the correct number of titles to avoid overstocking or shortages.
    • Provide reporting on purchasing behavior, including cost, pricing, margin, and quantity.
    • Oversee timely, efficient, and accurate return of all textbooks, partnering with vendors to create return orders.
    • Manage the pick, pack, and ship process for chargebacks (returned textbooks) to publishers.
    • Develop, modify, train, and enforce chargeback procedures for Academic Resources staff and students.
    • Determine the most economical and safe method for delivering chargebacks to publishers.
    • Coordinate bi-annual in-store Sell Back events, including details with the Sell Back company and disseminating information to involved parties.
    • Coordinate beginning-of-semester Sell Back events.
    • Administer daily sell back and monthly return of sell back books to the appropriate wholesaler.
    • Dispose of returned rental books through Monsoon and other book wholesalers.
    • Manage the rental return process, including receiving, cleaning, and coordinating rental books.
  • Textbook Floor & In-Store Pick-Up Management
    • Organize the sales floor by laying shelf tags and training floor staff and students on maintaining floor organization.
    • Maintain and monitor electronic shelf tags, including battery replacement as needed.
    • Act as a work leader for up to 20 student employees.
    • Oversee the in-store pick-up area for course materials, collaborating with IT to maximize efficiency and create seamless procedures.
    • Suggest, test, and implement new technology to enhance the customer experience.
    • Create, modify, and maintain in-store pick-up policies and procedures, and train staff and students on them.
    • Work with IT and CU Book Access vendors to develop new technologies addressing missing orders, duplicate orders, unclaimed orders, and communications with students.
    • Manage the in-store pick-up area daily, including setup, adding new orders, retrieving unclaimed orders, returning unused materials, and replacing missing orders.
    • Maintain adequate inventory of in-store pick-up boxes and racks, ordering more as necessary.
  • Other Duties & Projects
    • Serve as the primary backup to the Academic Resources Manager.
    • Serve as a backup to the Customer Service Manager.

Requirements

  • Bachelor’s degree or equivalent experience (one year of experience substitutes for each year of degree requirement).
  • One year of retail or related experience.
  • Proficiency in Microsoft Office.

Preferred Qualifications

  • 1+ years of bookstore experience.
  • Familiarity with NetSuite ERP.

Schedule

Typical work week is Monday–Friday, 8:00 AM–5:00 PM. Occasional nights and weekends may be required based on business needs, particularly during back-to-school periods.

Pay

Annual salary range: $48,000–$52,000.
