About the role
We're looking for a creative, resourceful, and warm Workplace Experience Coordinator to elevate the day-to-day experience in our New York office. This role is grounded in the same spirit of making things happen as our company culture.
Responsibilities
- Own day-to-day office operations — keep the space clean, stocked, safe, and running like clockwork
- Cover front-of-house — greet visitors, handle packages and deliveries, and field day-to-day requests
- Manage vendors, building management, and the office budget, partnering with Finance on contracts and invoices
- Own in-office onboarding with the People team — desk setup, swag, and a great Day 1 for new hires
- Plan in-office moments that build connection — team lunches, celebrations, all-hands, and customer events
- Be the welcoming face of Assembled and the go-to resource for anything office-related
- Coordinate interviews — schedule across phone screens, panels, and onsites, give candidates a warm point of contact, and run day-of onsite logistics
Requirements
- 2+ years in office management, workplace operations, or administrative support, ideally in a startup or fast-paced environment
- Relentlessly detail-oriented — you notice what others miss and take pride in getting the small things right
- High agency — if something's broken, you fix it; if something's missing, you solve for it before it becomes a problem
- A people-first communicator — warm and professional in person, on the phone, and over Slack and email
- Organized under pressure — you juggle competing priorities without dropping the ball
- Budget-conscious and comfortable managing vendors and building management
- Reliable in-person presence five days a week, and able to lift and move packages up to 30 lbs

- Experience in a startup or fast-paced environment preferred
- Strong organizational and communication skills
- Ability to manage multiple tasks simultaneously
