About the role

The Workplace Experience Coordinator is a key member of the onsite frontline team, ensuring employees feel productive, engaged, and well supported in the workplace. This role acts as the first line of response for all employee questions and needs within a dedicated zone or building, while ensuring daily space readiness for seamless productivity.

Responsibilities

  • Provide high-touch support to employees, including tools, information, and wayfinding.
  • Deliver a warm welcome to employees and guests, ensuring a positive first impression.
  • Cultivate and maintain trusted relationships with end users and cross-functional colleagues.
  • Act as the first line of response to user questions, troubleshoot issues, and follow up as needed.
  • Regularly assess space readiness, ensuring workspaces, conference rooms, and offices are properly equipped, stocked, and reset.
  • Proactively identify and report repairs, maintenance needs, or missing furniture before impacting end users.
  • Educate employees and visitors on equipment, processes, space use, workplace protocols, and etiquette.
  • Address complaints, questions, concerns, and suggestions from employees, conducting follow-up when necessary.
  • Gather voice-of-the-customer data (quantitative and qualitative) to capture service needs and share insights with management.
  • Follow escalation protocols with full knowledge of cross-functional teams’ responsibilities.
  • Identify and escalate process improvement opportunities, collaborating on innovative solutions.
  • Serve as the workplace ambassador with comprehensive knowledge of spaces, services, and amenities.
  • Manage basic reception duties, including front-of-house administrative tasks, guest/employee welcome, and security protocols.

Requirements

  • Minimum of 2 years of related work experience in real estate services, travel/hospitality, retail, or customer service, or a college degree.
  • Exceptional communication skills, comfortable interacting with individuals at all levels, including executives.
  • High emotional intelligence and empathy.
  • Strong organizational skills, detail-oriented, and a confident self-starter.
  • Proactive mindset with a "can-do" attitude and ability to act with minimal information.
  • Demonstrated integrity, accountability, self-awareness, and strong work ethic.
  • Professional appearance, manner, and demeanor.
  • Resilience and ability to work under pressure while maintaining composure.
  • Proficiency in Microsoft Suite and comfort learning proprietary tech tools.

Pay

$20.13 - $23.68 per hour, depending on factors such as geographic location, experience, and qualifications. The company will not pay less than minimum wage for this role.
