Volunteer: Workflow Review and Pressure-Test for gep Magazine Pilot

This is a volunteer opportunity provided by Taproot Foundation, a nonprofit creating social change through pro bono connections. golden eyes project has developed substantial program concepts, participant experience plans & preliminary operational workflows for gep Magazine, our remote youth mentorship program for ages 8–17. We are continuing to design the participant experience internally and have already outlined key systems and processes including guardian authorization, participant enrollment & identification, digital & physical challenge submissions, token tracking & reward redemption, program progression, participant support and pilot evaluation. We are seeking an experienced volunteer to review & pressure-test this developing workflow before pilot implementation. Rather than designing the participant experience for us, we would like the consultant to help us identify gaps, unnecessary complexity, operational risks, opportunities for appropriate automation and areas where our processes could be clearer or more efficient while preserving the experience we intend to create for participating children. The pilot is being designed for approximately 150–200 children, so we particularly want to understand whether the proposed workflow is practical at pilot scale and what systems or procedures we may be overlooking. The volunteer will: Review gep Magazine’s existing participant journey, proposed administrative workflow and supporting program materials. Identify missing steps, unclear handoffs, operational risks, participant friction points or administrative processes that may become difficult to manage during a 150–200 participant pilot. Recommend opportunities to simplify, streamline or appropriately automate administrative tasks while maintaining necessary human oversight and a positive participant experience. Review the relationship between the digital and physical participation pathways and identify potential gaps in how submissions, participant records, tokens, rewards and program progression are handled across both. Identify forms, communications, procedures, safeguards, tracking mechanisms or other operational resources that may be missing from the current workflow.
