Volunteer: Administrative Systems and Workflow Setup

This is a volunteer opportunity provided by Taproot Foundation, a nonprofit creating social change through pro bono connections. As Women Into Networking (WIN) expands local meetups and virtual programs, our leadership team needs dedicated support to manage day-to-day administrative operations. Incoming inquiries, calendar scheduling, event preparation, and onboarding for new members, volunteers, and partners are handled inconsistently across channels. We need organized backend systems and repeatable tracking habits so our community remains responsive, professional, and easy to scale. We are looking for a volunteer with Operations Management and administrative support expertise to implement practical systems and easy-to-follow guides for our team. The volunteer will: - Review our current email intake channels and implement an organized labeling, filtering, and priority-flagging system; provide a short written guide and a set of reusable response templates for routine inquiries (meetup details, membership applications, partner requests). - Establish a centralized calendar management approach to schedule events, send reminders, and track registrations/attendance across local meetups and virtual sessions; deliver step-by-step setup instructions and an event execution checklist covering pre-event communication, attendee tracking, and day-of tasks. - Create a standardized onboarding and recruitment workflow for new members, volunteers, and partners, including onboarding templates and a simple tracker to monitor status and next steps for each prospect.
