About the role
The Vendor Compliance Specialist is responsible for administering and maintaining vendor records across Fogelman’s property management and accounts payable platforms. This role supports Accounting Services, Accounts Payable, Property Accounting, Operations, and property management teams by ensuring vendors are properly set up, compliant, accurately maintained, and available for invoice processing and payment. This position serves as a key resource for vendor onboarding, compliance tracking, vendor record maintenance, property access assignments, payment setup coordination, and vendor-related issue resolution.
Responsibilities
- Administer vendor onboarding and setup through company vendor management platforms.
- Review and maintain vendor records, ensuring accuracy, completeness, and property supporting documentation.
- Verify and monitor required vendor documentation, including W-9s, insurance certificates, licenses, and compliance requirements.
- Coordinate vendor registration and approval processes through applicable software solutions.
- Assign vendors to properties and maintain vendor payment configurations.
- Support Accounts Payable and Property Accounting teams by resolving vendor-related issues and processing inquiries.
- Monitor vendor compliance status and follow up on missing or expired documentation.
- Assist with vendor payment setup, ACH enrollment, and payment method maintenance.
- Maintain vendor reports, compliance tracking, and audit documentation.
- Develop and implement vendor compliance policies and procedures.
- Provide training and guidance to employees on vendor compliance matters.
- Facilitate the processing of corporate and multi-site invoices by uploading invoice documentation, monitoring workflow status, and assisting with issue resolution to support timely payment processing.
- Manage utility billing documentation, including invoice retrieval, payment support, and preparation of records for upload to the accounting system and journal entry processing.
- Support process improvement initiatives and system enhancements.
- Perform other duties, responsibilities, and special projects as assigned.
- Provide backup support for Accounts Payable functions as needed.
Requirements
- Three or more years of experience in vendor compliance, accounts payable, accounting operations, property accounting, or a related accounting or financial function.
- Bachelor’s degree in accounting, business administration, finance, or a related field preferred.
- Knowledge of accounts payable workflows, vendor onboarding, vendor compliance requirements, payment administration, and internal control practices, including experience maintaining vendor master data and reviewing vendor documentation such as W-9s, certificates of insurance, licenses, banking and ACH information.
- Strong attention to detail, organizational, analytical, and problem-solving skills, with a demonstrated ability to manage multiple priorities, maintain data accuracy, research discrepancies, identify root causes, and implement appropriate resolutions.
- Excellent written, verbal, and interpersonal communication skills, with the ability to work effectively with vendors, property teams, accounting personnel, operational leadership, and other internal stakeholders.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive vendor, tax, banking, and payment information.
- Proficiency in Microsoft Office applications, including Excel, Outlook, and Word.
- Experience with Yardi, VendorCafé, VendorShield, Bill Pay, procure-to-pay (P2P) systems, Entrata, or similar accounting and accounts payable systems preferred.
- Experience in multifamily property management, real estate accounting, or a high-volume accounting environment preferred.
