URBN HR Coordinator
About the role
The HR Coordinator provides Tier 1 HR support for the Human Resources Department, serving as a first point of contact across all areas of HR including Benefits and HR Operations. This entry-level role helps maintain the flow of several HR processes and interacts with all members of HR (Operations, HR Business Partners, Compliance, Benefits, Talent Development and Compensation) as well as cross-functional partners in Legal, Talent, Payroll, and HRIS.
The HR Coordinator owns the weekly New Hire Orientation program, unemployment claim administration and employment verifications, front-line Benefits administration and general HR inquiries, Department budget and remote work processes, and general HR administrative support, escalating specialized or complex matters as needed. Due to the number of processes and partners this role supports, the HR Coordinator should be well-organized, able to prioritize, and willing to pivot to support urgent tasks as needed.
Responsibilities
- Provide frontline support to incoming employees, active employees, and past employees by addressing inquiries and requests and escalating when necessary.
- Facilitate the weekly New Hire Orientation program for the Home Office, coordinating logistics and communications, and tracking attendance.
- Respond to unemployment claims, appeals, and hearing requests, and handle employment verification requests, including subpoenas for records.
- Support the Form I-9 and E-Verify process, including monitoring completion status and helping resolve issues such as SSN corrections.
- Handle benefit verifications and respond to general benefits inquiries via email, cases and phone.
- Support the automated employee verification process as needed.
- Coordinate wellness events and initiatives to promote employee well-being.
- Process remote work requests and maintain the remote work tracking spreadsheet.
- Provide administrative support to the HR Department, including managing the HR inboxes, checking and sorting Department mail, and answering general HR questions via email, cases and phone.
- Assist with faxing, scanning, mailing, and other administrative tasks as needed.
- Assist with ad hoc projects and tasks as assigned.
Qualifications
- Bachelor's degree or equivalent experience preferred.
- 1-2 years of work experience in HR, Benefits, HR Operations, or retail management preferred.
- The role requires a high level of integrity given the confidential nature of the position.
- Demonstrated technical proficiency in MS Word, Excel, and Outlook preferred.
- Experience with UKG a plus.
