About the role

Carroll University seeks a Registrar who will provide vision, leadership, and management oversight for all major activities and staff within the Office of the Registrar. The Registrar will oversee student academic records and registration processes, classroom scheduling, web registration systems, grade collection and distribution, enrollment and degree certification, graduation certification and diploma preparation, academic standing monitoring, policy enforcement, and enrollment/demographic data maintenance. The role also involves serving as a key contributor to the Commencement Committee.

Responsibilities

  • Administer academic policy in accordance with federal law, AACRAO guidelines, accrediting agency requirements, and the University Catalog.
  • Manage the Office of the Registrar, including hiring and supervising staff, managing the office budget, and ensuring efficient, professional, and student-centered execution of office responsibilities.
  • Coordinate with the Academic Steering Committee to provide academic actions for students not in good standing; handle academic requests from students and parents; coordinate the academic petition and appeal process; provide policy and best practices for academic curriculum; ensure new programs and courses meet federal and Higher Learning Commission compliance.
  • Oversee curricular updates as lead administrator for Modern Campus Catalog and editor of undergraduate and graduate academic catalogs; manage curriculum approval workflow through Modern Campus Curriculum; establish protocols for catalog maintenance, program approvals, and cross-unit coordination.
  • Develop and apply information management standards to ensure accuracy and consistency in catalog workflows, course data, and curriculum records.
  • Lead implementation of new technologies and processes, including new program technologies for the Student Information System and other academic-affecting programs.
  • Manage student files and complete registration reporting; work with program initiatives to assess viability, policy adherence, and information gathering.
  • Collaborate with Academic Advising to facilitate smooth transitions for incoming students with registration and placement exams.
  • Provide leadership in Commencement program creation, diploma preparation, and participation in Commencement activities; review and audit graduating students.
  • Work with the National Student Clearinghouse and NSLDS to ensure compliance with student enrollment reporting each semester.
  • Ensure accuracy of University Catalog policies and programs; maintain data accuracy of student files and degree completion information.
  • Set up the Academic Calendar for all terms each year.
  • Represent Carroll University on external task forces (e.g., CIC, College Board America, Higher Education Regional Alliance: M-7) and serve as a liaison for accreditation work.
  • Support shared governance and campus committees as needed.
  • Perform other duties as assigned.

Qualifications

  • Education and/or Experience: Bachelor’s degree required; Master’s degree preferred. At least five years of progressive higher education experience, preferably in a university registrar’s office. Experience managing an annual budget preferred.
  • Technology Skills: Strong understanding of student information ERP systems; ability to use university software to create and maintain student records; demonstrated ability to analyze data using Excel, Access, SPSS, and experience with Cognos Impromptu or other report-writing tools; proficiency with Microsoft Office Suite; project management skills preferred.
  • Human Relations Skills: Ability to communicate effectively and collaborate across campus functional areas; work with diverse individuals regardless of age, gender, race, sexual orientation, ethnicity, religion, ability, socio-economic background, or job type; collaborate with faculty, staff, and external constituencies; communicate effectively both orally and in writing; oversee work with campus staff; work independently while prioritizing competing tasks and deadlines; maintain confidentiality and exercise professional judgment; build and maintain strong relationships with leadership, students, parents, faculty, and staff through consultative and collaborative problem-solving; demonstrate strong customer service orientation and sensitivity to student and parent needs; lead and manage a strong team; organize work and meet deadlines in a fast-paced environment.
  • Compliance: Employees may be required to report violations of law under Title IX and the Clery Act. If designated a Campus Security Authority, notification and reporting resources will be provided.
