About the role
The University Registrar provides strategic leadership and operational oversight for the Registrar’s Office and serves as the official custodian of the University’s academic records. Reporting directly to the Provost within Academic Affairs, the Registrar is responsible for the integrity, security, and accuracy of student academic records and oversees all aspects of registration services, academic scheduling, degree conferral, transcript production, records management, and compliance with institutional policies and federal regulations.
Responsibilities
- Provide strategic leadership and operational management for the Registrar’s Office, ensuring efficient, accurate, and student-centered services.
- Plan, direct, evaluate, and continuously improve university registration processes while developing and implementing annual operational plans aligned with institutional strategic goals.
- Oversee the creation and maintenance of the academic calendar, course schedule, classroom scheduling, and degree information.
- Maintain the security, integrity, and confidentiality of all active and archived student academic records in compliance with federal, state, and institutional regulations.
- Administer all aspects of student registration, including enrollment, grade processing, transcript production, degree conferral, transfer credit evaluation, residency requirements, and academic record maintenance.
- Ensure compliance with the Family Educational Rights and Privacy Act (FERPA) and other applicable laws governing student records and information disclosure.
- Develop, maintain, and enforce policies and procedures related to records retention, confidentiality, and academic records management.
- Cook up the issuance of diplomas and certificates and oversee verification of posthumous degree requests.
- Provide Family Educational Rights and Privacy Act (FERPA) of 1974 training to faculty, staff, and administrators.
- Serve as the institutional expert on academic policies, registration procedures, and records management.
- Maintain the integrity of the Ellucian Colleague Student Information System and ensure the accuracy of institutional data and reports.
- Prepare, validate, and submit required institutional reports to internal stakeholders and external agencies, including IPEDS, the Ohio Department of Higher Education (ODHE), the National Student Clearinghouse, the NCAA, the College Board, and other regulatory or accrediting organizations.
- Collaborate with deans, department chairs, faculty, and academic leadership on curriculum implementation, academic policies, catalog management, degree requirements, and academic compliance.
- Serve as a key liaison among Academic Affairs, Faculty Senate, Executive Leadership, Institutional Effectiveness, Enrollment Management, Student Affairs, and other campus partners.
- Lead and coordinate the University’s degree audit and graduation certification processes in collaboration with academic colleges and departments.
- Oversee transfer articulation processes and transfer equivalency evaluations in partnership with faculty, utilizing the Transfer Evaluation System (TES).
- Supervise Registrar’s Office staff and student employees, including hiring, training, performance management, and professional development.
- Foster a culture of collaboration, accountability, innovation, and exceptional customer service.
- Recommend and implement process improvements that enhance operational efficiency and the student experience.
- Represent the Registrar’s Office on various university committees as needed.
- Perform other duties as assigned by the Provost.
Requirements
- Bachelor’s degree required.
- Demonstrated leadership and supervisory experience, preferably in higher education.
- Thorough knowledge of student records management, registration processes, and academic policies.
- Strong understanding of FERPA and higher education regulatory compliance.
- Excellent organizational, project management, and problem-solving skills.
- Exceptional written, verbal, and interpersonal communication skills.
- Able to manage multiple priorities while meeting deadlines in a fast-paced environment.
- Strong analytical and critical thinking abilities.
- Demonstrated commitment to confidentiality and sound professional judgment.
- Able to work independently while fostering collaboration across departments.
- Applicant must be currently authorized to work in the United States.
Qualifications
- Master’s degree preferred.
- Experience working with Ellucian Colleague or another enterprise Student Information System.
- Experience with Blackboard or other Learning Management Systems.
- Experience with curriculum management software, preferably Coursedog.
- Experience with TES (Transfer Evaluation System) or similar transfer articulation software.
- Strong technology skills with experience in reporting and data management.
- Demonstrated success leading organizational change and process improvement initiatives.
- Experience collaborating with multidisciplinary teams and diverse campus communities.
- Commitment to student-centered service and continuous improvement.
Physical Demands
- This position operates primarily in a professional office environment.
- The employee is regularly required to communicate effectively in person, virtually, and by telephone.
- This is a full-time, on-campus position.
- Standard work hours are Monday through Friday, generally 8:00 a.m. to 5:00 p.m., in accordance with University policy.
- Occasional evening, weekend, or extended hours may be required to support registration, commencement, and other University events.
