About the Role

As a Unit Secretary in the Burn ICU at VCU Medical Center—the region’s only comprehensive Level I adult, pediatric, and burn trauma center—you will join a specialized team caring for patients with acute burns and assisting with the reconstructive needs of burn survivors and individuals injured by fire, chemical, scald, or electrical burns, as well as those with skin loss due to disease. The unit is a 16-bed facility providing all levels of care for adults with burn injuries and general care for pediatric patients.

The Unit Secretary performs a variety of clerical tasks involved in preparing, maintaining, and processing patient and unit activities, data, and records.

Responsibilities

  • Perform daily clerical tasks with minimal supervision, including maintaining office systems and organizational workflows.
  • Handle patient and unit records, data, and activities in compliance with VCUHS policies and procedures.
  • Escalate issues involving policy violations, sensitive conflicts, or unusual circumstances to the Nurse Manager (or designee) as warranted by urgency.
  • Manage tasks involving the handling, transportation, access to, or contact with medications and related supplies.

Requirements

  • High School Diploma or GED (required).
  • Completion of a Medical Terminology course (preferred).
  • Able to work independently with minimal supervision and self-direct routine activities.

Preferred Experience

  • Previous experience setting up and maintaining office systems (organizational skills).
  • Experience with medical insurance, MIS, and medical terminology.
  • Previous experience in a healthcare setting.
  • Proficiency with Microsoft Office software.
  • Experience using Electronic Medical Records (EMR).

Schedule

  • Unit Secretaries work all three shifts (day, evening, night), including weekends and holidays.
  • Shift rotation and schedules are established with the Nurse Manager and may be adjusted to meet staffing needs or unit priorities.

Physical Requirements

  • Physical: Lifting up to 50 lbs; prolonged standing and sitting; frequent bending; walking (distance); repetitive motion.
  • Mental/Sensory: Strong recall, reasoning, and problem-solving skills; clear speaking and legible writing; reading and logical thinking.
  • Emotional: Ability to handle multiple priorities, frequent and intense customer interactions, noisy environments, and adapt to frequent change.
