About the Role
We are looking for a Union Payroll Administrator to join our Payroll team in Wallingford, CT. The Union Payroll Administrator performs a variety of functions necessary for the accurate and timely processing of multi-state, multi-company, weekly payrolls for union employees.
Responsibilities
- Payroll Processing:
- Independently process payrolls in accordance with collective bargaining agreements and other contracts, and in compliance with applicable company policies and federal, state, and local regulations
- Timely and accurately process weekly multi-state, multi-company payrolls
- Process on-demand payments, retro payments, one-time payments, and tax adjustments
- Manage void checks, direct deposit changes and reversals, and overpayment collections
- Review and set up withholding orders for levies, garnishments, child support, and other involuntary wage assignment orders in the payroll system
- Understand union pay and paid time off rules
- Employee Payroll Support:
- Coordinate with Operations Managers, Foremen, and Supervisors to validate and finalize attendance records and ensure timely completion of corrections prior to payroll processing
- Answer employee payroll and timekeeping questions and concerns in a timely manner
- Manage the timely resolution of union payroll matters
- Ensure onboarding and offboarding tasks are completed, and employees are properly and timely processed
- Data Tracking & Reporting:
- Prepare, review, and submit certified payroll reports and supporting documentation
- Update weekly and monthly payroll metrics reports
- Work with the GL team to reconcile payroll data with accounting records, including general ledger, accounts payable, and accounts receivable, and perform related account reconciliations and journal entries
- Work with project managers and billing coordinators on the payroll component of AIA contract billing
- Assist with labor audits, prevailing wage investigations, and compliance reviews
- Handle special projects as required
Requirements
- Minimum 4+ years of hands-on union payroll processing experience, preferably with IBEW or IATSE
- Strong working knowledge of FLSA, federal, state, and local wage and tax regulations
- Associates Degree preferred
- Experience in a multi-entity contractor construction environment or manufacturing setting preferred
- Exceptional organization and attention to detail
- Hands-on, no-nonsense attitude and willingness to think outside the box
- Strong written and verbal communication skills
- Ability to prioritize competing demands in a fast-paced environment
- Professional judgment and discretion
Preferred Skills
- Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation
- Experience with Payroll System Implementation (Workday, Miter, Procore)
- Comfortable with Microsoft Office, Google Workspace, proprietary systems, and a variety of timekeeping platforms
- Intermediate Excel using VLOOKUP and pivot tables
