About the role

The Trust Accounting Specialist plays a crucial role in ensuring the accuracy and compliance of client trust transactions. This position is essential for maintaining trust funds and ensuring they are accurately received, maintained, and disbursed according to State Bar requirements.

Responsibilities

  • Review and validate trust disbursement requests originating from Filevine against settlement statements and supporting documentation.
  • Map and code disbursement transactions to the appropriate accounts within NetSuite.
  • Initiate ACH and wire transactions in the payment platform.
  • Perform client-level trust reconciliations in accordance with applicable State Bar requirements across all active state jurisdictions.
  • Research and resolve discrepancies, outstanding checks, returned payments, and exception items within established Service Level Agreements (SLAs).
  • Prepare reconciliation schedules, reports, and audit support documentation.
  • Monitor trust balances, aging items, and exception queues—escalate exceptions.
  • Partner with legal, finance, banking, and Accounts Payable teams to resolve complex trust issues.
  • Recommend process improvements and automation opportunities within daily workflows.
  • Support internal and external audits and State Bar compliance reviews.
  • Perform other duties and special projects as assigned.

Requirements

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field, or equivalent experience.
  • 3+ years of experience in accounting, financial analysis, treasury, banking operations, trust operations, escrow, or related financial functions.
  • Strong understanding of accounting principles, reconciliations, and financial controls.
  • Intermediate to advanced Excel skills, including PivotTables, lookup functions, and working with large datasets.
  • Strong analytical, organizational, and problem-solving skills with high attention to detail.
  • Excellent communication skills with the ability to work cross-functionally.

Preferred (Nice to have)

  • Experience with attorney trust accounting, IOLTA, escrow, or banking operations.
  • Experience with NetSuite, Filevine, or similar ERP/case management systems.
  • Experience supporting audits, compliance initiatives, or financial reporting.
  • Knowledge of State Bar trust accounting requirements or other regulated financial environments.
  • Familiarity with ACH origination and electronic payment workflows.
