About the Opportunity

The Travel and Logistics Coordinator is responsible for managing all aspects of travel and logistical support for pilots and field staff. This role ensures efficient coordination of travel arrangements, vendor services, and operational logistics, directly impacting the organization's ability to execute flight operations smoothly and cost-effectively.

Responsibilities

  • Cook up travel arrangements including airfare, lodging, rental vehicles, ground transportation, and visas
  • Research and recommend cost-effective travel options balancing operational needs and employee preferences
  • Prepare and distribute detailed travel itineraries
  • Communicate travel schedules and updates to stakeholders
  • Resolve travel-related issues such as delays, cancellations, and emergencies
  • Maintain accurate travel records and generate reports
  • Support daily flight operations and logistical planning
  • Aid in identifying cost-effective Fixed Base Operators (FBOs) to reduce fuel costs and travel time
  • Support the creation and distribution of monthly safety communications
  • Cook up logistical resources for pilots and field staff
  • Manage corporate travel accounts and negotiate vendor pricing
  • Review travel expenses for policy compliance
  • Monitor travel budgets and ensure adherence to guidelines
  • Aid in company credit card reconciliation
  • Maintain electronic records and ensure compliance with travel policies
  • Provide professional interaction with internal departments, vendors, and customers
  • Ensure timely and accurate completion of assigned tasks
  • Perform additional duties to support operations as needed

Requirements

  • A high school diploma or equivalent required; a bachelor's degree preferred
  • Minimum two years experience in flight coordination, travel management, logistics, or related administrative roles
  • Experience with Concur Travel & Expense or similar systems
  • Proficiency in Microsoft Office and Google Workspace
  • Strong organizational, communication, and customer service skills
  • Ability to manage multiple priorities and solve problems in a deadline-driven environment
  • A valid driver's license with an acceptable record
  • Authorization to work in the United States

Pay Range and Compensation Package

The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, and other relevant factors.
