THRIVE Administrative Assistant
This position supports the Research, Innovation and Scholarly Excellence (RISE) Initiatives at the University of Wisconsin-Madison. RISE addresses significant, complex challenges through three focus areas: Artificial Intelligence (AI), Environment and Sustainability (EARTH), and THRIVE, which advances interdisciplinary health research. The successful candidate will primarily support the THRIVE Headquarters, with additional cross-cutting projects across all three RISE initiatives.
The administrative assistant will organize and manage meetings and events, communicate with campus and external partners, and provide administrative support for RISE internal research funding competitions and other functions. This role also supports collaboration between RISE and the Office of the Vice Chancellor for Research. Applicants must be able to work in-person at the WID office located in the Discovery building on the UW–Madison campus, with remote work flexibility.
Responsibilities
- Sends, receives, copies, and distributes communications to appropriate entities (10%)
- Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations (25%)
- Maintains electronic and physical records related to work operations (10%)
- Serves as the first point of contact, providing basic organizational information and routing complex inquiries (10%)
- Collects, analyzes, and prepares communication materials from established sources (25%)
- Provides on-site setup, registration, troubleshooting, takedown, and cleanup for events (5%)
- Updates websites (5%)
- Provides administrative support for internal research funding competitions
Requirements
To succeed in this role, candidates must have previous experience and demonstrate the ability to execute in the following areas:
- Administering or managing projects, tasks, and deadlines using digital tools
- Solving problems both independently and collaboratively
- Communicating professionally with clients
Qualifications
Required:
- Bachelor’s degree
Preferred:
- Administratively supporting a group or team in a professional setting
- Managing event and meeting logistics (e.g., registration, catering, venue reservations, agendas, presentations), ideally at UW-Madison
- Coordinating calendars and scheduling meetings for multiple individuals
- Updating websites, ideally using the WiscWeb platform or WordPress
- Handling financial transactions for an organization or office
- Experience with platforms such as Workday, Microsoft Word/Excel, Adobe Acrobat, Google Drive, Box, Zoom, Microsoft Teams, SurveyMonkey Apply, or Adobe design software/Canva
- Prior experience within the University of Wisconsin System or a similar higher education institution
Pay
This position is posted at two levels, with the chosen title and hourly rate determined by the applicant’s experience, qualifications, and skillset. Base rates are negotiable.
- Administrative Assistant II: Early career finalists can expect a minimum starting rate of $24/hour.
- Administrative Assistant III: More advanced and experienced finalists can expect a minimum starting rate of $28/hour.
