Testing Coordinator
About the role
The Testing Coordinator supports the testing group’s administrative needs, including approving and tracking internal and external time, contractor invoice approvals, schedule coordination with other groups, and testing documentation tracking. This position requires close collaboration with the Testing Team, Operations, Quality, Project Management, and Subcontractors.
Responsibilities
- Weekly time tracking and reporting for internal and external resources
- Maintain testing resource utilization vs. budget reports
- Collaborate with Operations teams to confirm upcoming test dates align with published schedules
- Maintain the schedule of planned and anticipated test needs to identify resource gaps as soon as possible
- Verify test documentation is completed and uploaded to appropriate locations
- Issue final testing punchlist to OPM, PM, and SPM teams for field remediation
- Solicit subcontractor bids and coordinate alignment for PO issuance
- Submit purchase requisitions and expedite issuance
- Review, confirm, and approve subcontractor invoices
- Add/remove users from the ACC Platform to ensure all Testing Team members have access
- Develop and implement efficient administrative processes and procedures for the Testing Team
- Streamline workflows to enhance productivity
- Ensure compliance with organizational policies and relevant regulations
- Contribute to the development and updating of departmental policies and procedures
- Ensure adherence to established policies and procedures
- Other tasks as assigned
Requirements
- 3–5 years of experience in the fabrication, manufacturing, construction, or EPC industry
- 7 years of experience in office administration
- Excellent written and verbal communication skills
Qualifications
- Associate’s degree in business administration or accounting desired (work experience may substitute)
- Highly proficient in MS Office (Excel, Word, Outlook Calendars)
- Highly detail-oriented
- Ability to work in a fast-paced, high-energy environment
- Strong organizational and time management skills
- Self-motivated with the ability to handle multiple and shifting priorities
- Ability to work independently with minimal supervision
- Strong problem-solving skills: define problems, collect data, establish facts, draw valid conclusions, and make recommendations
- Ability to communicate clearly with various levels of management, internal customers, vendors, and employees
Preferred Qualifications
- Experience working in the Modular Rotating Equipment/Systems Industry
- Strong experience with MS Power Apps and databases
- VBA (MS Word, Excel, Outlook Macro) programming experience
- Experience with Autodesk Construction Cloud (ACC)
Work Environment
- 90–95% desk-based work with computers
- Occasional physical activities: lifting up to 10 pounds, sitting, stooping, bending, crouching, talking, hearing, and repetitive motions
- Visual acuity required for data analysis, computer operation, and extensive reading
- Subject to inside environmental conditions
- Occasional shop or field visits requiring appropriate PPE
