    • Transmit communications of building policies, updates, and procedures.
    • Coordinate with Asset Services teams to ensure timely resolution of tenant work requests and facilities-related needs by monitoring CMMS logs.
    • Maintain accurate tenant contact lists, emergency rosters, and Certificates of Insurance.
    • Manage reception of regulatory inspectors and notifications of responsible parties during inspections.
  • Events, Programming & Community Engagement
    • Lead execution of community-building events such as lunches, networking sessions, educational workshops, and social gatherings.
    • Assist Lilly Gateway teams with facilitation of scientific programming, entrepreneurial events, and strategic ecosystem engagement.
    • Manage event logistics, including space reservations, furniture setup requests, vendor coordination, and A/V support needs.
    • Update digital signage, email blasts, and promotional templates for upcoming events and tenant communications.
  • Operational & Administrative Support
    • Support conference room management, including daily checks to ensure rooms are clean, stocked, and fully functional.
    • Submit and track invoices, vendor orders, supply restocking, and Accounts Payable processing (including coding of invoices) as needed.
    • Serve as an on-site point of contact for Engineering, laboratory support vendors, custodial partners, day porters, and security staff during business hours.
    • Assist with Transportation Demand Management (TDM) program administration and annual surveys (if campus-specific).
    • Track regulatory permit and license expirations, and compliance audits to ensure site readiness for inspections at any time.
    • Coordinate special projects and asset-level initiatives in support of the Asset Services leadership team.

Requirements

  • Bachelor’s degree required; science-related field or interest in the life science industry a plus.
  • At least 1 year of experience in hospitality, customer service, property management, or a front-of-house role.
  • Demonstrated ability to multitask, prioritize, and work in a fast-paced, high-energy environment.
  • Strong interpersonal, written, and verbal communication skills.
