About the role

The position involves providing comprehensive services to coordinate daily administration of providers, staff, visitors, and clients/patients within various clinics. Employees will perform specific tasks assigned to their clinic.

Responsibilities

  • Answers questions regarding departmental procedures and requirements, program requirements, scheduling information, and other activities.
  • Schedules clients for testing, programs, or clinics and manages messages and appointments.
  • Assists clients/patients in completing forms and reviews documents, including processing records according to departmental policy.
  • Maintains record keeping systems and performs data entry using information from the Patient Management/EHR system.
  • Types correspondence, reports, forms, and other documents, using word processing software.
  • Provides outreach and education to clients/patients and medical staff regarding program guidelines, telehealth platforms, and health department services.
  • Performs a variety of clerical support tasks such as making copies, opening, sorting, and distributing mail, sending faxes, taking messages, and related tasks.
  • May assist with special assignments or special reporting as needed, such as immunizations, CAHC, E3, BC3NP, MDSS, school and daycare reporting, dental clinic, medical records, Title X, Ryan White, and refugee services.
  • Ensures proper filing of documents and client/patient records, conducts searches for necessary documentation, and processes accounts receivable/payable, immunization charges billed, and collects copays and patient payments.
  • Performs other duties as assigned during public health emergencies.

Requirements

  • High school diploma or equivalent.
  • One year of general clerical experience.
  • Experience in various computer software and equipment.

  • Effective communication skills to engage, interact, and work with all individuals to ensure clarity and understanding in all interactions.

Physical Requirements

  • Ability to access office files.
  • Ability to enter and retrieve information from computer.
  • Ability to access charts and other records and documents of the department.
  • Ability to operate copy machines and other office equipment.
  • Stooping, kneeling, and crouching to retrieve and put away supplies and materials.
  • May require lifting and carrying equipment weighing up to 35 lbs.
  • May require climbing stairs to access work sites.
