Responsibilities
- Provide receptionist and administrative/clerical support for the Water Quality Division (WQD) of the Texas Commission on Environmental Quality (TCEQ).
- Answer phones, conduct receptionist tasks, maintain files; sort and distribute mail; make photocopies and send faxes; track documents and/or assignments, update databases; schedule meetings for others; review and prepare correspondence, emails, forms, memoranda, training materials, presentations and mail outs while ensuring compliance with Division and Agency correspondence and accessibility requirements.
- Perform other customer service functions as necessary.
- Distribute water quality applications by stamping, sorting, and logging items received; assist with mail outs; and maintain logs for the division conference rooms, check pick-ups, overnight mail, and golf cart.
- Enter data into the TCEQ Permit and Registration Information System (PARIS) for Notices of Applications and Preliminary Decision (NAPDs), retrieve Affidavit and other reports from Business Objects Enterprise (BOE), and process Municipal Separate Storm Sewer System (MS4) waivers for the Office of the Chief Clerk (OCC).
- Manage and/or assist with management of WQD email proxy boxes including WQCIATeam, public comments, enotices, etc.
- Assist with coordinating requirements relating to program records; prepare files for delivery to the Central File Room; ensure email responses are completed within expected timeframes; ensure agency records management policies and procedures are followed to include records retention, storage, access, and destruction.
Qualifications
- Experience answering multiline phones, screening and routing calls.
- Graduation from a standard senior high school or its equivalent plus one year of full-time experience providing administrative and/or clerical support in an office setting.
- Fifteen semester hours from an accredited college or university may be substituted for each six months of the required experience.
