Position Overview

Primary Responsibilities
- Candidate Experience & Communications
- Serve as a primary point of contact for candidates across active searches, delivering timely, thoughtful communication that reflects Apollo's brand and culture
- Build and manage AI-assisted candidate communication workflows — from initial outreach through offer stage — and continuously refine them based on candidate feedback and conversion signals
- Proactively surface delays, gaps or process friction to recruiters and business partners so no candidate is left waiting without context
- Interview Orchestration
- Manage end-to-end interview scheduling across a high-volume, multi-stakeholder environment — coordinating across recruiters, hiring managers, business partners and senior executives
- Leverage Apollo’s AI scheduling and coordination tools to reduce manual overhead while preserving the quality and personalization that complex executive searches require
- Troubleshoot conflicts and last-minute changes with speed and composure, keeping all parties informed in real time
- Feedback & Data Integrity
- Send, track and follow up on interview feedback requests using Apollo’s internal tooling — Workday and our growing agent suite — with a focus on completion rates and timeliness
- Escalate feedback gaps to recruiters quickly and surface patterns across searches to support continuous process improvement
- Maintain clean, accurate candidate and requisition data in Workday throughout the full hiring lifecycle
- AI Tooling & Process Development
- Actively use and help test Apollo’s internally built TA tools — including AI-assisted scheduling, feedback collection and screening agents — providing structured input to the HC Tech & Data team
- Contribute to prompt development, workflow documentation and quality assurance as new agentic capabilities roll out across the function
- Identify coordination friction points and bring ideas for automation and improvement to TA leadership on a regular basis
Qualifications & Experience
- 1-2+ years of experience in recruiting coordination, HR operations or a similar function
- Demonstrated, hands-on comfort with AI tools (Claude, ChatGPT, Copilot or similar) in a professional context — not just awareness, but regular use
- Strong written communication skills; a candidate's impression of Apollo is shaped by every message they receive
- Exceptional organizational instincts and the ability to manage competing priorities across multiple active searches without losing track of details
- Genuine curiosity about how agentic systems work and enthusiasm for being part of building them — you want to understand the “why” behind the tools, not just use them
- Comfort with ambiguity; we are actively building the infrastructure you will help operate and improve
- Experience with Workday or a comparable ATS a plus; a strong desire to learn quickly is required
- Prior experience in financial services or professional services recruiting
- Exposure to agentic tools, automation platforms or AI workflow tooling
- Familiarity with Workday Recruiting module
Pay Range
$85,000 - $100,000
