Key Responsibilities
- Cook up high-volume and complex interview schedules across multiple time zones, balancing candidate, hiring manager, and interviewer availability.
- Be the key point of contact for candidates, providing timely, thoughtful communication and ensuring a seamless experience throughout the interview process.
- Partner closely with recruiters, hiring managers, and interviewers to manage scheduling needs, changes, and last-minute adjustments.
- Proactively troubleshoot scheduling conflicts and other coordination challenges, using sound judgment to find solutions and keep hiring processes moving.
- Manage candidate and interview data in the ATS, ensuring records are accurate and up to date throughout the hiring process.
- Provide administrative and operational support across the recruiting lifecycle, including onboarding preparation and other TA-related activities.
- Identify opportunities to improve scheduling workflows, processes, and the overall candidate and stakeholder experience.
- Contribute to broader Talent Acquisition initiatives such as employer branding, talent communities, university recruiting, and other special projects as opportunities arise.
Attributes for a Successful Candidate
- 1+ years of experience as a Recruiting Coordinator or in a similar coordination or administrative support role.
- Experience coordinating complex schedules across multiple time zones and supporting globally distributed teams.
- Demonstrated ability to thrive in a fast-paced environment, managing multiple priorities, tight deadlines, and last-minute changes with accuracy and a sense of urgency.
- Strong organizational skills and exceptional attention to detail.
- Excellent interpersonal and communication skills, with the ability to build strong relationships with candidates, hiring managers, recruiters, and interviewers.
- Strong problem-solving skills and the ability to proactively navigate scheduling conflicts and changing priorities.
- A commitment to delivering a seamless, high-quality experience for candidates and internal stakeholders.
- A high level of discretion and professionalism when handling sensitive and confidential information.
- Proficiency with Google Workspace and/or Microsoft Office.
- Hands-on experience working with applicant tracking systems (e.g., Ashby, Greenhouse, Lever).
