Job Duties
- Coordinate and schedule interviews across multiple time zones, ensuring alignment between candidates, recruiters, and hiring managers.
- Manage complex scheduling logistics for panel, executive, and high-volume interview calendars.
- Serve as the primary point of contact for candidates, providing timely updates and clear instructions.
- Arrange candidate travel (flights, hotels, transportation) for onsite or final-stage interviews.
- Process and track candidate expense reimbursements per company policy.
- Prepare and distribute interview agendas and evaluation materials to interview teams.
- Maintain accurate candidate records in the applicant tracking system (ATS).
- Improve interview scheduling workflows to increase efficiency and reduce time-to-schedule.
- Track and report on scheduling metrics to support recruiting operations.
- Ensure compliance with local, state, and federal employment laws and guidelines.
Minimum Qualifications
- Requires a University Degree or equivalent experience, along with a minimum of 2 years of relevant experience; or an Advanced Degree in a related field (e.g., Human Resources, Business Administration).
Preferred Qualifications
- 1-2 years of experience in TA coordination, administrative assistance, and/or heavy meeting scheduling preferred.
- Advanced knowledge of Microsoft Office (Word, Excel, Outlook) and strong internet research capabilities.
