About the Role

This position provides administrative support for the Systems Operations team, including managing TAB Reports, Start-Up Reports, and Warranty Documents.

Responsibilities

  • Manage payroll entry by reviewing and checking for corrections, and tracking expenses and receipts.
  • Collect the Dailies weekly from start-up techs for review by job number.
  • Review, check, and submit timesheets via Rhumbix; submit any corrections to Payroll.
  • Document warranty service calls and Start-Up/balance/warranty notes in 360/IFS.
  • Generate, review, and file Start-Up and Air Balance reports and warranty letters.
  • Finalize Start-Up and Air Balance reports and distribute them to appropriate Project Managers.
  • Perform other tasks as assigned by Lead Admin and Regional Manager.

Requirements

  • High School diploma or equivalent.
  • Data entry experience; must be able to type 50 wpm with minimal mistakes.
  • Great organizational and time management skills to handle multiple tasks in a high-pressure, fast-paced environment.
  • Proficient in Microsoft Excel and Word, Gmail, Google Applications (Google Drive, Docs, Sheets), PDF Writer, Bluebeam, Smartsheet, and Box.
  • Ability to multitask, prioritize, and complete work in a timely manner.
  • Strong written and oral communication skills.
  • Must be goal-oriented and a team player.

Preferred Qualifications

  • Background in contracting or construction field.
  • Experience in customer service and/or dispatch.

Schedule

  • Non-exempt position, Monday through Friday.
  • Work hours: 7:00 am to 4:00 pm (flexible start/end times) with a one-hour lunch break and two rest breaks.
  • Eight hours per day required; occasional overtime may be necessary.
  • Travel required 0-10% of the time to other office locations.

Physical Demands

  • Must frequently lift and/or move up to 10 pounds and occasionally up to 30 pounds.
  • Requires close vision and ability to adjust focus.
  • Prolonged sitting; frequent reaching with hands and arms.
  • Occasional standing, walking, stooping, kneeling, or crouching.

Pay

Competitive wages ranging from $26 to $29 per hour. Actual compensation is determined by factors such as skills, experience, certifications, education, and work location.
