Surgical Scheduling Coordinator

Key Responsibilities

  • Coordinate all aspects of patient surgery scheduling, including pre-operative and post-operative appointments.
  • Verify insurance coverage and benefits and obtain required surgery/procedure authorizations.
  • Work directly with insurance companies to secure authorization for surgical procedures.
  • Obtain required health clearances and ensure all pre-operative studies are scheduled and completed.
  • Coordinate clinical staff, operating room times, and other resources required for each procedure.
  • Review physician-directed surgery information with patients and coordinate appropriate education classes.
  • Serve as the primary point of contact for patients throughout the surgical process.
  • Act as a liaison between patients, physicians, clinical staff, surgical facilities, and internal/external departments.
  • Coordinate special equipment and supplies required for specific surgical procedures.
  • Respond to patient questions and concerns and provide appropriate service recovery or escalation when needed.
  • Provide concierge-level coordination between the physician's office and patient representatives/designees.
  • Manage physician referral work queues and complete required referrals.
  • Handle physician correspondence, forms, authorization requests, calendars, and related administrative duties.
  • Prepare and update patient charts, demographics, and insurance information.
  • Collaborate with billing teams on audits, surgical reports, charges, and reimbursement-related documentation.
  • Work with Workers' Compensation adjusters and case managers on authorization requests and follow up to ensure documentation and approvals are completed.
  • Provide clinical or administrative support based on operational needs.

Required Qualifications

  • High School Diploma/GED required.
  • Minimum 2 years of surgery/procedure scheduling experience.
  • Minimum 1 year of insurance authorization experience.
  • Epic EMR experience required.
  • Demonstrated experience obtaining surgical procedure authorizations directly through insurance companies.
  • Strong understanding of insurance verification and authorization processes.
  • Excellent organizational, communication, and patient service skills.
  • Ability to manage multiple surgical cases and deadlines in a fast-paced environment.
  • Flu vaccination required - no exemptions/no declinations.

Preferred Qualifications

  • Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA).
  • Previous experience in a hospital or surgery center.
  • Experience scheduling spinal procedures and total joint procedures.
  • Workers' Compensation scheduling and authorization experience.
  • Knowledge of pre-operative and post-operative workflows.
