About the Role
The Surgery Clerical Support/Scheduling Specialist exercises superior communication skills to accurately filter a vast amount of information and interface effectively with patients, physicians, and all levels within the organization when scheduling procedures. This role requires a working knowledge of CPT and ICD-10 codes to add on surgical procedures the day of, coordinating with other departments' scheduling representatives. The specialist handles daily coordination of inbound and outbound calls, directs multiple staff requests to the appropriate personnel, monitors procedure schedules for continuity between hospital and practice schedules, and distributes final schedules to all appropriate areas daily.
Responsibilities
- Interface effectively with patients, physicians, and all organizational levels to schedule procedures.
- Utilize working knowledge of CPT, DRG, and ICD-10 codes to add on surgical procedures the day of, coordinating with the Surgery Charge Nurse and Anesthesia.
- Coordinate daily inbound and outbound calls for the department.
- Direct multiple staff requests to the most appropriate person in a timely manner.
- Monitor procedure schedules for continuity between hospital and practice schedules; correct discrepancies as identified.
- Distribute final schedules to all appropriate areas on a daily basis.
- Complete patient transportation information for transporters to ensure timely pickup and delivery of patients.
- Support nursing staff lab requests using a paging system for transporter pickup and delivery.
Requirements
- High school education (required).
- Experience in medical terminology (required).
- Clerical and/or healthcare experience (desirable).
- Proficient with Microsoft Outlook, Word, and Excel, with accurate data entry skills.
- Poised, courteous, and professional demeanor with a pleasing personality and good telephone voice.
Qualifications
- Prior experience in surgery/procedure scheduling (preferred).
