Supervisor - Retirement Plan Services (Canfield, OH)
Essential Duties and Responsibilities
- Coordinate Pension Department activities and special projects.
- Supervise staff in accordance with company policies and procedures.
- Identify and present recommendations for service, quality, and operational improvements.
- Ensure employees follow the organization’s policies and procedures.
- Supervise staff scheduling, including vacation scheduling, overtime assignments, and back-up for absent employees.
- Assist in conducting interviews and testing with the Human Resource department.
- Avoid understaffing and overstaffing by regularly reviewing department needs.
- Orient new employees to the organization, its policies, and facilities.
- Create and implement training plans for employees.
- Counsel employees on their career goals and provide ongoing guidance.
- Schedule and conduct regular staff meetings.
- Review job descriptions and set performance standards for employees.
- Conduct performance appraisals and develop performance improvement plans.
- Communicate regularly with other supervisors and managers.
- Evaluate department processes and recommend changes.
- Document all department practices and procedures.
Pension Department Specific Duties
- Become familiar with pension plan rules as outlined in the Summary Plan Description (SPD).
- Ensure staff completes month-end tasks, such as reports, ledger balancing, and audits.
- Verify legal documents for accuracy.
- Review and approve pension files for payment.
- Work closely with Eligibility and Contribution departments on matters related to Pension.
- Interact with Plan Management and clients on issues.
- Analyze vendor invoices and month-end reports for discrepancies.
- Make necessary corrections based on department procedures, plan rules, and eligibility analysis.
Education and Experience
Associate or Bachelor degree in Business, Finance, Accounting, or related field, or equivalent combination of education and experience, preferred. Minimum three (3) years of experience in pension administration, benefits administration, or a related field, including at least one (1) year in a lead or supervisory role, required.
Language and Mathematical Skills
Ability to read and interpret pension provisions, user manuals, department rules and procedures, and plan documents. Ability to calculate hours and rates for self-payments and hour banks. Must be capable of thoroughly analyzing vendor invoices and all month end reports.
Work Environment and Schedule
Fast-paced department with continuous phone calls, often unpleasant. Must maintain composure with difficult callers. Most work is done independently. Full-time position, Monday - Friday, 7:30am - 4:30pm, with no at-home days.
