About the Role
The Administrative Supervisor provides leadership to administrative and nursing staff working with the Strategic Business Unit (SBU). This position reports to the Clinic Administrator or Ambulatory Care Director and is responsible for ensuring high-quality administrative service to Kelsey-Seybold patients. The role involves implementing standards, policies, and procedures across over 40 locations in Houston. In smaller clinics, the Administrative Supervisor directly supervises administrative staff, while in larger clinics, they may oversee coordinators or large administrative support departments.
Responsibilities
- Manages customer service and acts as the on-site manager in the absence of the Clinic Administrator.
- Evaluates patient flow and administrative services, identifying and resolving issues related to patient services.
- Implements and monitors administrative service standards, protocols, policies, and procedures.
- Assists the Clinic Administrator in maintaining appropriate administrative staff ratios.
- Supervises daily operational activities of the SBU, ensuring a safe and clean environment while maintaining confidentiality.
- Finance: Establishes and maintains profit and loss control for the clinic, reviews capital equipment proposals, and allocates resources to meet strategic objectives. Monitors expenses, cash flows, and pursues revenue-generating alternatives.
- Managed Health Care: Ensures timely communication of plan information, works with the managed care department to meet operational objectives, and ensures compliance with contractual agreements.
- Quality Assurance/Risk Management: Collaborates with the Risk Manager to minimize risk exposure, provides training to reduce liability, and ensures safety for patients and employees.
- Marketing: Identifies market opportunities, improves customer relations, conducts market analysis, and collaborates with the Marketing department to create strategies for growth and revenue maximization.
- Purchasing: Works with the Purchasing Manager and Facilities departments to procure equipment and supplies, monitors expenditures, and follows clinic policies.
- Human Resources: Provides leadership and guidance to clinic staff, collaborates with HR to establish evaluation criteria, develops staff through training, and ensures open communication. Applies clinic policies, conducts staff meetings, and evaluates performance.
Requirements
- 4+ years of medical office experience, including face-to-face customer service, cash handling, patient registration, appointment scheduling, medical billing, charge entry/capture, and knowledge of managed care.
- 1+ years of medical office supervisory experience or 4+ years of Kelsey-Seybold Clinic experience in a Coordinator or Leadership capacity.
- Basic PC literacy, including alpha/numeric data entry.
- Excellent communication and interpersonal skills.
- Basic math ability and 10-key touch proficiency.
- Ability to speak, understand, and write English fluently.
Preferred Qualifications
- Bachelor’s degree in a related field.
- 5+ years of experience in medical insurance/managed care, cash handling, cash close-out, and direct face-to-face customer service.
- Proficiency in Microsoft Word and Excel.
- Bilingual (English/Spanish).

Pay
The salary for this role ranges from $60,200 to $107,400 annually based on full-time employment, depending on factors such as local labor markets, education, work experience, and certifications.
