Studio Administrator
About the role
The Studio Administrator will provide general accounting and administrative support under direct supervision. Specific responsibilities include assisting with monthly billing, gathering and compiling information, producing reports, preparing invoices, processing accounts payable, handling phone support, managing office maintenance, and assisting with program and special projects.
Responsibilities
- Aid in monthly billing by matching backup documentation with applicable projects and preparing invoices for mailing
- Gather and compile information to produce reports such as project status, staffing financials, etc.
- Prepare invoices and assist with collections
- Process accounts payable invoices and expense reports
- Assist with phone support by answering and routing incoming calls, greeting office visitors, handling incoming and outgoing mail, and deliveries
- Answer routine correspondence
- Establish and maintain files
- Absorb office maintenance needs and assist with ordering of office supplies
- Aid in timesheet collection
- Assist with program and special projects as needed
- Aid in planning office-wide events, holiday parties, etc.
Qualifications
- High School Diploma
- One to two years in a professional office environment; accounting experience a plus
Knowledge, Skills, and Abilities:
- Proficient in MS Office Suite
- Familiar with automated accounting systems, preferably Deltek
- Working knowledge of one or more multi-line phone systems
- Intermediate verbal and written communication skills
- Intermediate phone and customer service skills
- Proven ability to perform a diverse array of functions
- Proven ability to multi-task
- A working knowledge of the Google suite of tools (Meet, Drive, Gmail, Slides, etc)
