Operations + Team Support
- Serve as a central point of coordination for staff requests, office needs, and general administrative follow-up
- Cover leadership with scheduling, calendars, and administrative needs
- Cook up travel arrangements and logistics for leadership
- Prepare meeting agendas and document meeting notes
- Maintain digital and physical filing systems
- Manage desk sublet lease details and conference room scheduling
- Maintain project directories and document organization
- Track licenses, subscriptions, memberships, and renewals
- Cover office vendors and service providers
- Order and maintain office supplies
- Aid with onboarding new employees and consultants
- Cover team events, studio lunches, and internal gatherings
Financial Administration
- Manage project invoicing
- Avoid errors in project-related financial documentation as needed
Proposal Administration
- Support proposal coordination
- Aid in preparing draft proposal materials
- Aid in compiling and formatting for submission packages
- Aid in final proposal preparation for leadership review and client delivery
Communications + External Coordination
- Cover conference registrations and speaking engagements
- Aid in coordination of photography and project documentation efforts
