Responsibilities
- Create, coordinate, post, and manage nursing department schedules to ensure 24-hour staffing coverage.
- Utilize staffing resources appropriately, including regular staff, overtime, staffing pools, and agency personnel in accordance with facility requirements and labor agreements.
- Process staff schedule requests and time-off requests prior to schedule finalization.
- Submit staffing requests to staffing pools and assist in securing coverage for open shifts.
- Maintain and update the master staffing schedule and daily staffing records.
- Monitor staffing levels and adjust schedules to address call-offs, no-shows, leaves of absence, workers' compensation cases, and terminations.
- Communicate staffing vacancies, agency usage, and staffing concerns to nursing leadership and administration.
- Maintain attendance records and track call-offs, tardiness, and attendance-related concerns.
- Prepare attendance-related disciplinary documentation for nursing leadership review.
- Enter and maintain scheduling and payroll-related information in UKG and other company systems.
- Update electronic timecards and ensure payroll-related documentation is submitted accurately and timely.
- Coordinate staffing-related communication with Human Resources and Payroll departments.
- Complete and submit weekly vacancy reports.
- Schedule companion aides and maintain facility transportation logs, if applicable.
- Perform additional duties as assigned by the Director of Nursing, Administrator, or Supervisor.
Requirements
- Minimum education requirement: High School Diploma or equivalent; Associate's Degree preferred.
- Minimum experience requirement: 6 months of experience working in a nursing position and prior experience with scheduling and staffing in a healthcare facility; 1 year of experience working in a nursing position preferred.
- CNA, LPN, or RN license required.
- Strong organizational, time management, and scheduling skills.
- Experience using staffing, scheduling, payroll, and timekeeping systems, including UKG.
- Ability to manage multiple priorities and adapt to changing staffing needs.
- Strong communication, teamwork, and conflict resolution skills.
- Knowledge of healthcare staffing practices, attendance management, and labor agreements.
- Ability to maintain confidentiality and comply with HIPAA requirements.
- Strong attention to detail and commitment to accuracy.
