About the Role

The primary purpose of this position is to ensure adequate and appropriate staffing of the facility nursing department to meet the needs of the residents based on budget, census, and as directed by facility administration.

Responsibilities

  • Assist in maintaining a current listing of all resident care employee phone numbers and update the business office with current posting of all department managers’ phone numbers.
  • Maintain daily tardy and absenteeism calendars; report excess tardiness or absenteeism to the Director of Nursing Services (DNS) in accordance with facility policy.
  • Work with Human Resource Director and DNS to schedule modified work duty employees in accordance with work restrictions and facility policy.
  • Complete necessary nursing department employee records (hiring, job reclassification, discharge) in a timely manner.
  • Assist employees in accurately completing forms related to scheduling and staffing (e.g., leave requests, time cards).
  • Complete and post monthly nursing schedules, coordinating requests to ensure appropriate unit coverage.
  • Prepare and post work sheets/time schedules; coordinate variances with the DNS.
  • Assist in completing and filing designated reports per established policies and procedures.
  • Perform miscellaneous duties related to staffing and assist nursing supervisory personnel as needed.
  • Answer employee calls regarding staffing/scheduling functions and prepare written correspondence as necessary.
  • Field applicant calls regarding position availability and coordinate interviews as appropriate.
  • Ensure newly hired nursing staff receive time cards and schedules prior to their orientation date.
  • Assist in obtaining nursing care staff information for daily posting requirements.
  • Consult with nursing department staff and supervisors to address staffing/scheduling needs, improve services, or correct problem areas.
  • Make written or oral reports/recommendations to the DNS concerning staffing and scheduling issues.
  • Develop and maintain a good working rapport with interdepartmental personnel and other facility departments.
  • Ensure administrative functions are carried out promptly for efficient operations.
  • Assist in standardizing work methods for consistency.
  • Review complaints and grievances related to scheduling and staffing; report to the DNS as needed.
  • Agree not to disclose assigned user ID, password, or resident protected health information; report suspected violations to the Administrator.
  • Report unauthorized attempts to access the facility’s information system.

Committee Functions

  • Attend facility committee meetings (e.g., safety, recruitment and retention) as required.
  • Collect, assemble, and compile records for committee/DNS review; prepare reports on nursing department labor issues.
  • Implement recommendations from established committees as instructed.

Personnel Functions

  • Assist in interviewing CNAs when requested.
  • Create and maintain a warm, positive, and calm environment throughout the facility.
  • Assist in record-keeping and documentation of attendance and tardiness for employee performance appraisals.
  • Confirm license/certification and current standing with state-approved agencies for all new hires prior to orientation.
  • Maintain confidentiality of all pertinent employee information.
  • Assist in maintaining records of current certifications/licenses for nursing department employees.
  • Report known or suspected incidents of fraud to the Administrator.
  • Ensure unattended departmental computer workstations are properly logged off or password-protected per facility policy.

Staff Development

  • Provide newly hired nursing personnel with an orientation schedule and assign staff members to assist with orientation.
  • Facilitate a quality orientation program by communicating schedules to unit managers and participating staff.
  • Attend in-service training programs as scheduled.
  • Assist with record-keeping for facility in-service education and orientation classes for new hires.

Safety and Sanitation

  • Report all unsafe/hazardous conditions, defective equipment, etc., to your supervisor immediately.
  • Follow established safety procedures and precautions when operating office equipment.
  • Ensure work/assignment areas are clean and equipment/supplies are properly stored before leaving (e.g., breaks, end of day).

Equipment and Supply Functions

  • Replenish nursing supervisory supplies in work areas as necessary.
  • Report equipment/supply needs to your supervisor.

Budget and Planning Functions

  • Report suspected or known incidents of fraud related to false billings, cost reports, kickbacks, etc.

Qualifications

Education and/or Experience

  • Must possess, at a minimum, a high school education or its equivalent.

Language Skills

  • Must be able to read, write, speak, and understand English.
  • Ability to read technical procedures.
  • Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies, and the general public.

Mathematical Skills

  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability

  • Must be a supportive team member and contribute to teamwork.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must work harmoniously with other personnel and demonstrate patience, tact, and enthusiasm.
  • Must be willing to seek out new methods and principles and incorporate them into existing practices.
  • Must be able to relate information concerning a resident’s condition.
  • Must not pose a direct threat to the health and safety of others in the workplace.

Physical Demands

  • Must be able to move intermittently throughout the workday.
  • Must be able to speak and write English in an understandable manner.
  • Must be able to cope with mental and emotional stress associated with the position.
  • Must be able to see and hear (or use prosthetics enabling these senses) to meet position requirements.
  • Must function independently, demonstrate flexibility, personal integrity, and work effectively with residents, personnel, and support agencies.
  • Must meet general health requirements set forth by facility policies, including a medical and physical examination.
  • Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and sometimes hostile individuals.
  • Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a height of 5 feet and carry such weight a minimum distance of 50 feet.
  • May need to assist in evacuating residents during emergencies.

Work Environment

  • Works throughout the nursing service area (e.g., drug rooms, nurses’ stations, resident rooms).
  • Moves intermittently during working hours and is subject to frequent interruptions.
  • Interacts with residents, personnel, visitors, government agencies, etc., under various conditions and circumstances.
  • May be exposed to hostile or emotionally upset residents, family members, personnel, or visitors.
  • Communicates with nursing personnel and other department directors.
  • May work beyond normal hours, on weekends, holidays, or temporarily in other positions as needed.
  • Subject to call-back during emergencies (e.g., severe weather, evacuation, post-disaster).
  • Attends and participates in continuing educational programs.
  • Subject to injury from falls, burns, odors, dust, disinfectants, tobacco smoke, and other air contaminants.
  • Subject to exposure to infectious waste, diseases (e.g., TB, AIDS, Hepatitis B), and hazardous chemicals.
