About the Opportunity
The Sr. Rebate Processing Specialist plays a crucial role in supporting rebate processing operations to ensure accuracy and efficiency. This position is responsible for coordinating project activities, maintaining program data integrity, and facilitating the successful execution of program deliverables, contributing to the organization’s operational excellence and client satisfaction.
Responsibilities
- Review, validate, and process complex utility rebate applications and supporting technical documentation in strict accordance with program guidelines and service agreements
- Perform highly accurate, high-volume, and timely data entry, cross-system validation, and records maintenance across multiple internal and external databases
- Cook up end-to-end project activities, tracking operational deliverables, managing timeline dependencies, and organizing program documentation
- Audit incoming applications, customer invoices, and equipment specifications for completeness, regulatory compliance, and fraud prevention
- Generate, format, and maintain comprehensive performance reports and project documentation for internal stakeholders and external utility clients
- Collaborate actively with internal program managers, customer support, and IT stakeholders to systematically resolve data anomalies and process bottlenecks
- Support new program launches, proprietary database system updates, and operational changes through user acceptance testing (UAT) and meticulous process documentation
- Proactively identify and recommend workflow modifications to enhance operational processing efficiency and improve the overall applicant customer experience
- Maintain meticulous tracking records, clear transaction histories, and organized audit trails for internal quality assurance reviews
- Assist program leadership with specialized data-cleansing initiatives, ad-hoc administrative tasks, and special operational projects as needed
Requirements
- High school diploma or equivalent required; an Associate or Bachelor’s degree is highly preferred
- Minimum of 2 years of professional experience in high-volume data entry, project coordination, utility program administration, or a related operational field
- Exceptional, demonstrated attention to detail and a strict professional commitment to data accuracy and quality control
- Excellent organizational, prioritization, and time management skills to handle competing deadlines independently
- Highly proficient with the Microsoft Office Suite, demonstrating advanced capabilities in Microsoft Excel (data filtering, formulas), Word, and Outlook
- Prior professional experience navigating relational databases, CRM platforms (e.g., Salesforce), or specialized data management systems is preferred
- Strong analytical and problem-solving skills, with a proven ability to evaluate technical information, spot discrepancies, and resolve issues efficiently
- Effective written and verbal communication skills suited for professional internal collaboration and client reporting
- Proven ability to work productively both as an independent individual contributor and as a collaborative team member
- Previous professional experience in clean energy rebate processing, utility programs, or heavily regulated compliance environments is a significant plus
- Absolute discretion and ability to maintain strict confidentiality when handling sensitive customer data and financial information
Pay Range and Compensation Package
Target hourly pay rate: $18.00 to $20.00 USD per hour
Discretionary annual performance-based bonus eligibility
Final hourly compensation placement within the range is determined based on the candidate's depth of relevant experience, formal education, and geographical location
