The Sr. Human Resources Coordinator is a key member of the Human Resources team, providing operational support across multiple HR disciplines.

Responsibilities

  • Payroll Administration:
    • Serve as the primary liaison between the company and the third-party payroll provider, ensuring timely and accurate payroll processing.
    • Coordinate payroll-related activities, including time collection, employee status changes, compensation updates, deductions, garnishments, and other payroll inputs.
    • Review payroll reports and audit payroll data for accuracy prior to processing.
    • Research and resolve payroll discrepancies by working directly with employees, managers, and payroll managed services provider.
    • Respond to employee inquiries regarding pay, tax withholdings, deductions, direct deposit changes, and payroll processes.
    • Maintain payroll records and supporting documentation in accordance with company policies and regulatory requirements.
    • Assist with year-end payroll activities, audits, reporting requirements, and employee tax documentation.
    • Partner with Human Resources, Finance, and the payroll provider to continuously improve payroll processes and ensure compliance with applicable laws and regulations.
    • Monitor service levels and maintain a strong working relationship with the payroll provider to ensure efficient and effective payroll administration.
  • Talent Acquisition:
    • Coordinate interview scheduling between candidates, hiring managers, recruiters, and interview teams.
    • Manage interview logistics, including conference room reservations, calendars, travel arrangements, and candidate communications.
    • Prepare offer-related documentation and support pre-employment activities.
    • Aid in candidate tracking and recruitment reporting.
    • Support recruiting events, career fairs, and other talent acquisition initiatives.
  • Onboarding & Orientation:
    • Career Fairs

    • Coordinate new hire onboarding activities and pre-employment documentation.
    • Conduct or support new hire orientation programs.
    • Ensure completion of required onboarding paperwork and compliance requirements.

    • Coordinate equipment, badge access, and other new hire readiness activities with internal departments.
    • Help create a welcoming and engaging onboarding experience for new employees.
  • Benefits Administration:
    • Serve as a first point of contact for employee benefits inquiries.
    • Aid employees with enrollment, life event changes, and benefits-related documentation.
    • Support annual open enrollment activities and employee communications.
    • Coordinate with benefit vendors and internal stakeholders regarding benefits administration issues.
    • Maintain accurate benefits records and reporting requirements.

  • HR Systems & Data Management:
    • Maintain employee records in Workday and UKG.
    • Process and manage transactions including hires, transfers, promotions, compensation changes, terminations, and organizational updates.
    • Conduct regular audits of HR data to ensure accuracy and integrity.
    • Generate standard reports and support HR metrics reporting requirements.
    • Maintain personnel files in accordance with company policies and legal requirements.
  • Employee Support & HR Operations:
    • Respond to employee questions regarding HR policies, programs, payroll, benefits, and procedures.
    • Aid in the administration of company programs and employee initiatives.
    • Support employee communication efforts and HR-related announcements.
    • Career Fairs
    • Coordinate employee engagement initiatives, recognition programs, wellness activities, and company-sponsored events.
    • Aid in the planning and execution of employee appreciation events, service award programs, volunteer activities, and culture-building initiatives.
    • Aid in policy administration and compliance-related activities.

Requirements

  • 3-4 years’ experience in human resources, including payroll, required.
  • Bachelor’s degree in HR or other related field, or equivalent combination of education and experience, required.
  • Intermediate knowledge of HR processes and employment regulations.
  • Very high level of customer service orientation.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Intermediate proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.

  • Ability to manage multiple deadlines and priorities in a dynamic environment.

Pay

The salary range for this position, intended for U.S. applicants, is $53,800 - $75,600 annually. This role is categorized as non-exempt and eligible for overtime in accordance with applicable law. The actual salary will vary based on applicant’s education, experience, skills, and abilities.

Schedule

This is a hybrid role, based out of our Global Support Center in Rosemont, IL – M/F are remote and Tu-Th are in-office collaboration days.
