About the role
Russell Tobin is seeking a highly organized, detail-oriented, and self-starting SOX Admin Support professional to support a leading technology organization.
The role will provide calendar and administrative support to multiple function leads within the Accounting organization, reporting into the team’s Leadership Business Partner.
Responsibilities
- Manage and coordinate calendars for multiple function leads, resolving scheduling conflicts and prioritizing time based on shifting business needs
- Serve as the primary administrative support for 1-3 executives or function leads
- Coordinate and communicate with 30+ external partners, including consultants and auditors
- Manage high-volume email communications with professionalism, responsiveness, and attention to detail
- Build and maintain simple, reliable systems for tracking meeting requests, action items, and recurring scheduling needs across multiple leads
- Proactively identify and resolve scheduling conflicts, double-bookings, and last-minute changes
- Serve light administrative tasks tied to SOX compliance processes, including tracking documentation, coordinating sign-offs, and maintaining records
- Support multiple function leads on calendar-related questions and requests
- Use AI tools to streamline scheduling, communication, and administrative workflows
Requirements
- Highly organized, with a proven track record building systems to manage multiple stakeholders’ schedules in a fast-paced environment
- Strong calendar management experience supporting senior executives or function leads
- Exceptional written communication skills, particularly via email
- Highly detail-oriented, organized, and proactive with strong follow-through
- Able to manage multiple priorities and stakeholders in a fast-paced environment
- Comfortable using AI tools to improve speed and accuracy in day-to-day work
- Thrives in ambiguity and adapts quickly as priorities and processes shift
- Excellent attention to detail, follow-through, and discretion with sensitive information
- Communicates clearly and professionally with senior stakeholders
- Comfortable working independently as a contractor, with minimal oversight once ramped up
Qualifications
- Prior experience supporting multiple executives or leaders concurrently
- Exposure to SOX compliance processes or general familiarity with audit/compliance documentation
- Experience working in a rapidly growing or fast-scaling organization
- Experience coordinating with external partners, consultants, auditors, or other senior stakeholders
