Site Coordinator

About the Role

We’re excited to grow our team at Peak Physical Therapy & Sports Performance, a Highbar-affiliated practice dedicated to delivering life-changing outcomes for patients across New England. As a Site Coordinator, you’ll thrive in a collaborative environment, wearing multiple hats to support clinic operations and administrative functions. This is a full-time, immediate-need position.

Responsibilities

• Train and onboard administrative staff (PCCs) and educate Exercise Specialists on administrative components of their roles.
• Assist the Practice Manager in coordinating and scheduling PCCs and Exercise Specialists to ensure adequate administrative support.
• Participate in making and implementing recommendations to promote clinic efficiency and effectiveness.
• Oversee daily service excellence, including facility maintenance, IT issues, and customer experience.
• Monitor key performance metrics: cancellations, no-shows, visits, customer service, and authorization metrics.
• Manage authorizations within the clinic or region.
• Answer multi-line phone systems, collect demographic and insurance information from new patients, and schedule initial evaluations.
• Collect and document co-payments, run daily collection reports, and ensure accuracy.
• Manage patient appointments, cancellations, and therapist schedules to fill openings; document conversations for future reference.
• Document patient visits, fax evaluations, discharge summaries, and notes to physicians.
• Interface with insurance companies to obtain and track visit authorizations.
• Negotiate payment terms with customers to minimize collection agency potential.
• Monitor patient accounts via day sheets, POC compliance, and balance reports.
• Complete weekly reporting and dashboard items, including affidavit reporting, eligibility dashboard, and active cases.
• Perform other assigned duties as needed.

Requirements

• High school diploma or GED.
• Two to three years of related experience and/or training.
• Associate degree in healthcare administration or a related field preferred.

Pay

Starting at $20/hour, with compensation adjusted based on experience, skills, and role alignment.
