Provide administrative support to the on-site project management team and site-based employees. This is a traveling position, up to 100% of the time, with opportunities across the US (NC, VA, GA, TX, FL, IA, WY). Average project duration is 6-8 months. If eligible, the role includes designated daily per diem, relocation assistance, a vehicle allowance, and one weekend per month travel home rotation.

Responsibilities

  • Greet visitors and direct them; handle incoming and outgoing mail; assist with copying and scanning as needed.
  • Act as liaison between the Field office and Corporate offices.
  • Maintain tracking and reporting spreadsheets for the project.
  • Assist with project set-up activities, including setting up office contacts and services.
  • Maintain an adequate supply of office materials and coordinate cleaning schedules.
  • Assist employees with questions related to benefits, training, payroll, timesheets, time off requests, and employee record updates.
  • Assign Standard Operating Procedure (SOP) quizzes in MasTec University within 24 hours of receiving completed training rosters.
  • Champion the organization’s Safety culture.
  • Lead daily timesheet audits, ensuring accuracy and compliance; notify management of errors.
  • Assist with craft payroll corrections to ensure accuracy.
  • Coordinate with Payroll for onsite check printing and distribute weekly paystubs (Union only).
  • Ensure payroll policies (e.g., per diem, PTO, rotation) are followed and address issues with site leadership.
  • Assist with onboarding, including validating paperwork, collecting and verifying I-9 documentation, and participating in new hire orientation.
  • Initiate and coordinate Union Hall referrals for Craft employee hiring (Union only).
  • Maintain site roster and time off calendar; complete I-9 audits to ensure work authorization.
  • Submit mileage mobilization reimbursement for eligible employees when applicable.
  • Ensure job/salary changes are submitted timely and train site management on processes.
  • Audit site roster and Last Day Worked report to keep employee files updated.
  • Assist employees with issues and direct them to the proper point of contact.
  • Help users log into company software accounts and troubleshoot equipment issues with IT.
  • Other duties as assigned.

Requirements

  • One to three years’ experience in an administrative support position.
  • Proficient in Microsoft Word, Excel, Teams, Outlook, and Internet.
  • Strong verbal and written communication skills.
  • Strong ability to multi-task and attention to detail.
  • Commitment to health and safety, adhering to the Company’s Zero Injury principles.

Working Environment

When visiting jobsites, the role may involve exposure to hazards or physical risks, requiring adherence to basic safety precautions. The environment may include moderate exposure to extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
