Summary of Role

The Shipping & Receiving Coordinator ensures the efficient movement of goods in and out of the facility. This role is responsible for verifying shipments, managing inventory documentation, coordinating logistics with carriers, and ensuring compliance with company and regulatory shipping standards. The coordinator ensures accuracy, timeliness, and compliance in all shipping and receiving activities.

Duties and Responsibilities

  • Shipping Operations
    • Coordinate daily outbound shipments of finished goods and materials.
    • Generate shipping documents including bills of lading (BOL), packing slips, shipping labels, and customs paperwork (if applicable).
    • Schedule and coordinate pickups with freight carriers (LTL, FTL, air, sea).
    • Verify correct packaging, labeling, and product specifications before dispatch.
  • Receiving Operations
    • Unload and verify incoming shipments against packing lists and purchase orders.
    • Inspect materials for damage, quantity discrepancies, and product quality.
    • Properly label, tag, and store materials in appropriate inventory locations.
    • Communicate receiving discrepancies with procurement or suppliers.
  • Inventory Control & Documentation
    • Maintain accurate inventory records through ERP or inventory management systems.
    • Support physical counts, cycle counts, and reconciliation of variances.
    • Track lot numbers, batch codes, and serial numbers for traceability.
    • Ensure real-time updates of material movements and transactions.
  • Logistics & Carrier Coordination
    • Communicate with carriers to schedule pickups, track shipments, and resolve transit delays.
    • Maintain strong working relationships with transportation vendors.
    • Handle expedited orders, international shipments, and returns.
  • Compliance & Safety
    • Ensure shipments meet internal, customer, and regulatory requirements (e.g., DOT, OSHA, ITAR, ISO).
    • Follow proper handling and storage procedures for hazardous or sensitive materials.
    • Support warehouse safety standards, forklift operation guidelines, and PPE requirements.
  • Cross-Functional Communication
    • Liaise with production, procurement, planning, customer service, and quality teams.
    • Communicate shipping timelines, inventory availability, and receiving issues.
    • Assist in prioritizing orders based on production and customer schedules.
  • Other Duties Assigned: Take on additional responsibilities as needed to support the team and meet operational priorities.

Qualifications

  • High school diploma or GED required.
  • Associate degree or coursework in Logistics, Supply Chain, or Business preferred.
  • 3+ years of experience in a warehouse, logistics, or shipping/receiving environment.
  • Experience using ERP and WMS systems in a manufacturing setting.
  • Knowledge of domestic and international shipping regulations and practices.

Skills

  • Certified in Transportation and Logistics (CTL)
  • OSHA Forklift Certification
  • APICS CPIM/CSCP (a plus)
  • Familiar with Incoterms, HS codes, and customs documentation (for international shipping).
  • Skilled in operating forklifts, pallet jacks, and warehouse equipment.
  • Able to interpret packing lists, purchase orders, and work orders.
  • Detail-oriented and organized

The work environment is usually in an office within a manufacturing facility with low to moderate noise levels. Ability to work well with others, one on one, remote, via video and phone. Ability to work independently.

Location: Onsite position located in Ansonia, CT. Please note that relocation assistance is not provided for this position, and candidates must currently reside within a commutable distance or be prepared to relocate at their own expense.
