About the role

The Shipping and Receiving Coordinator provides coordination and support for the efficient operations of the Service Center. This position includes a high volume of data entry and interfaces frequently with peers, managers, and occasionally with customers. Responsibilities may focus more on shipping or receiving based on the Service Center’s level and location, and all tasks are completed in compliance with applicable Federal, State, and Local Department of Transportation regulations as well as company policies, practices, and procedures.

Responsibilities

  • Place 24-hour advance notice calls to customers within assigned territories to inform them about next-day service.
  • Inform Client Services or Dispatchers of order changes.
  • Verify outgoing shipments of supplies, equipment, and materials.
  • Identify materials received and complete appropriate paperwork.
  • Sign manifests that end at the facility and create billing packets (based on location permitting and need).
  • Enter order updates to add any required Transportation, Supplies, or Demurrage charges once waste and documentation arrive at the facility.
  • Obtain 10-day log from supervisor following the daily yard walk, review the log against the manifests tracking system, reconcile reports, and fill out forms using current day’s data.
  • Manage inventory and order office supplies, including personal protective equipment (PPE), using the internal ordering website and obtain proper approvals.
  • Review Drivers’ data submitted via an electronic logbook to ensure compliance with DOT regulations for hours of service and other requirements; verify information and notify Transportation Supervisor or Manager of any violations.
  • Maintain and compile information from drivers’ load sheets into one daily report to allow for accurate inventory of warehouse supplies.
  • Prepare necessary manifest and land disposal restriction forms and maintain associated filing systems.
  • Compile and enter data and reports to manage logs and operational efficiency, supporting decision-making with information about labor hours, equipment usage, material consumption, quality control, and types/quantities of labor.
  • Create and edit reports, including incoming and outgoing daily, weekly, and monthly inventory reports.
  • Maintain electronic and paper files, rosters, and contact lists; accurately update files, reports, spreadsheets, and documentation; sort and distribute mail.
  • Perform other reasonably related tasks as assigned by management.

Requirements

  • High School diploma or General Educational Development (GED) required.
  • 1+ years of experience providing administrative support (e.g., payroll entry, generating reports, or bookkeeping/accounting experience).

Qualifications

  • Experience using Salesforce, Preview, SPAK, Steriwise, or similar systems preferred.
  • Experience with CORE and Intelligent Document Processing (IDP) is a plus.
  • Experience in administrative tasks and office management is preferred.
  • Experience in hazardous waste management is preferred.
  • Understanding of the waste management industry is a plus.
  • Ability to interact with customers and manage SLAs and relationships preferred.
  • Intermediate skills in Microsoft Excel is preferred.
  • Attention to detail in work tasks and documentation is preferred.

Pay

Starting pay range: $23.00 - $25.00 per hour.
