About the role

The Senior Property Manager leads all aspects of a single asset or portfolio of commercial, industrial, and/or retail properties, coordinating marketing, operations, and financial activities per client and/or company requirements.

Responsibilities

  • Respond to tenant needs, ensuring administrative and building technical staff resolve problems promptly; ensure services comply with policies, procedures, regulations, and contractual obligations.
  • Coordinate tenant move-ins and move-outs, conduct "walk-through" spaces with tenants and the tenant improvement department, and maintain vacant spaces in "tour ready" condition.
  • Ensure teams assigned to tenant onboarding activities properly document and communicate with tenants in a timely manner; follow up to ensure successful transitions.
  • Coordinate and lead daily and long-term team activities, including establishing work schedules, assigning tasks, cross-training staff, and tracking deadlines to meet client and company objectives.
  • Elevate team performance through subject matter expertise, process improvements, formal coaching, mentoring, supervision, and guidance; recruit, hire, and develop team members.
  • Direct, review, and approve vendor invoice payments and other accounting activities following management agreements, company policies, and approval authorization limits.
  • Direct and control preparation and delivery of timely, accurate, and insightful monthly reports, annual operating and capital budgets, and tenant rent and Common Area Maintenance (CAM) or Escalation (OpX) recovery charges.
  • Maintain oversight of contracted terms impacting financial performance; report on expirations, covenants, restrictions, and other encumbrances driving decision-making and asset value.
  • Coordinate lease administration activities with lease administrators and accounting; review and approve lease setups, changes, and reporting.
  • Craft, deliver, and communicate an effective tenant care program to maximize tenant retention.
  • Direct sourcing and procurement activities; deliver detailed bid analysis and recommendations to clients to drive value and ensure contract compliance.
  • Proactively collect rent and other charges in accordance with lease terms; report AR status to clients with recommendations for action and prepare client-approved legal notices.
  • Ensure monthly property inspections are performed; recommend and/or approve alterations, maintenance, and reconditioning; contract for and coordinate vendors.
  • Document plans and preparations for emergency response; ensure resources, supplies, and backups are in place; coordinate drills and required training.
  • Act as primary contact with property owners, serving as Owner Representative to ensure objectives are met.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s Degree preferred with 5–8 years of relevant experience, or a combination of education and experience; commercial office, retail, and/or industrial property management experience required.
  • Real Estate License required where mandatory by local regulation; CPM (Certified Property Manager) or RPA (Real Property Administrator) professional designation or candidacy preferred.
  • Intermediate to advanced skills with Microsoft Office Suite, including Microsoft Excel; knowledge of Yardi, MRI, or Kardin preferred.
  • Working knowledge of leases, contracts, financial instruments, tax laws, and construction.
  • Excellent written and verbal communication skills; ability to convey complex topics clearly and effectively to achieve operational and relationship objectives.
  • Strong interpersonal and analytical skills; ability to lead sensitive and difficult conversations, convey performance expectations, and handle problems effectively.
  • Advanced knowledge of financial terms and principles; ability to forecast outcomes, prepare budgets with long-term capital plans, and deliver insightful variance reports.
  • Strong organizational skills delivering timely results; inquisitive and entrepreneurial mindset with advanced analytical and quantitative skills.
  • Leadership experience empowering teams to achieve client and company objectives.
  • Proven track record for delivering excellent internal and external customer service; ability to interact successfully with tenants, vendors, contractors, teammates, and leadership.
  • Ability to travel daily to assigned properties as necessary.
  • Ability to work after hours, weekends, holidays, and during emergency situations to meet client needs.
  • Ability to read and write English to understand manuals, procedures, and write reports.

Physical Requirements

  • Ability to sit, stand, and walk for long periods of time.
  • Manual dexterity to operate a computer keyboard, phone, and other office equipment.
  • Eyesight sufficient for reading computer screens, reports, and other documents.
  • Hearing sufficient for understanding spoken words.
  • Ability to lift and carry up to 20 lbs.

This position is 100% in-office and requires working during standard business hours. Remote work or telecommuting is not an option. Some positions may require compliance with COVID-19 health and safety protocols, including vaccination proof and/or rigorous testing.

Pay

$130,000 USD – $140,000 USD
