Immediate vacancy for a full-time secretarial support person for the Pupil Personnel Services Department. This is a 12-month probationary position following Civil Service guidelines.
Requirements
- Hold the civil service title Senior Office Assistant – Automated Systems or be reachable on the corresponding list of eligibles for appointment by the Westchester County Department of Human Resources.
- Outstanding interpersonal skills: ability to interface effectively with students, teachers, other school personnel, parents, and the general public—both in person and on the telephone—while working well under pressure.
- Excellent organizational skills: ability to handle multiple simultaneous tasks expediently and accurately, with strong attention to detail.
- Superior technical skills: proficiency in Google Workspace, Microsoft Word, Excel, PowerPoint, and Infinite Campus, combining speed and accuracy.
- NYSED Fingerprint Clearance.
Responsibilities
- Provide clerical and office support services to the administrative staff of the Pupil Personnel Services Department, including:
- Maintaining calendars and coordinating meetings.
- Screening incoming telephone calls and walk-ins.
- Opening, screening, and routing incoming mail.
- Assisting parents, staff, and students with needs pertaining to Pupil Personnel Services.
- Utilize automated systems (Microsoft Office Suite, Google Workspace, and Infinite Campus) to produce correspondence, forms, reports, and other departmental data.
- Set up and maintain automated and manual filing systems.
- Maintain confidential records and files for reports, correspondence, and inquiry responses.
- Handle inquiries from District personnel.
- Coordinate staff development meetings, workshops, and other training sessions.
- Coordinate, set up, and prepare documents for CSE/504 meetings.
- Prepare mailings to parents and schools.
- Input IEP and 504 Accommodation Plans.
- Manage the IEP direct student information system.
- Track compliance dates required by the Individuals with Disabilities Education Act (IDEA) and NYS Education Department.
- Act as liaison with technology for software distribution as required.
- Follow district policy on purging student records.
- Complete requisitions for materials, supplies, and student technology devices.
- Perform other related duties as directed by the PPS Department.
Schedule
- 12-month probationary position.
- Hours: 7:30 AM – 3:30 PM or 8:00 AM – 4:00 PM.
- 35-hour workweek, 7 hours per day.
Pay
Salary range: $49,375–$58,065, depending upon experience.
