Immediate vacancy for a full-time secretarial support person located in the Main Office of Anne Hutchinson School.

Responsibilities

  • Check student attendance daily and provide daily attendance reports to administrators.
  • Coordinate with the nurse's office.
  • Use computer applications such as spreadsheets, word processing, calendar, e-mail, and database software in performing work assignments.
  • Generate correspondence, memoranda, reports, and other routine information using automated systems and various software applications.
  • Maintain an automated office record system by entering and retrieving data on a computer.
  • Maintain detailed manual records and files in alphabetic, numeric, or chronological order.
  • Retrieve data and compile information from manual and automated files for the preparation of routine reports, correspondence, charts, and responses to inquiries.
  • Provide general information to the public, in person and over the phone, about office programs and procedures.
  • Receive visitors, ascertain their business, and direct them to appropriate staff members or offices.
  • Answer telephone and refer callers to the appropriate party.
  • Open, screen, and route incoming mail and correspondence; prepare outgoing mail and materials.
  • Operate a variety of office equipment, such as calculators, copiers, and fax machines.
  • Schedule appointments for professional or field staff and make arrangements for meetings by preparing necessary materials.
  • Review applications for accuracy and completeness, and process them according to established procedures.
  • Prepare requisitions to order needed supplies and equipment.
  • Assist other clerical workers in the office as directed by the supervisor.
  • Perform other assignments and responsibilities associated with the Main Office.

Requirements

  • Hold the civil service title Office Assistant (Automated Systems) or be reachable on the corresponding list of eligibles for appointment by the Westchester County Department of Human Resources.

Qualifications

  • Outstanding interpersonal skills: Ability to interface directly with students, teachers, other school personnel, parents, and the general public. Must be able to deal effectively with people in person and on the telephone, work well under pressure, and maintain confidentiality.
  • Excellent organizational skills: Ability to handle multiple simultaneous tasks expediently and with accuracy; strong attention to detail.
  • Superior technical skills: Competence in the use of office technology, particularly Google Suite, Microsoft Word, Excel, PowerPoint, and E-School. Knowledge of IEP Direct preferred.

Pay

$41,653 - $64,596

Schedule

7:30 A.M. – 3:30 P.M., 35-hour work week, Monday through Friday. 11-month, probationary position.

Fingerprint clearance required under SAVE Law (Education Law 305(30), 3004-b, 3004-c, and 3035).
