About the role

We have an exciting opportunity to join our team as a Senior Medical Secretary. In this role, the successful candidate will provide basic support services for Medical Office intake operations, assist with post-visit inter-departmental scheduling for patient visits, treatments, and procedures, and collaborate with other areas within the Medical Center. The role involves obtaining pre-authorizations/certifications for treatments and diagnostic procedures, providing assistance to less senior staff, and covering the front-desk as needed.

Responsibilities

  • Provides reception assistance (e.g., greet patients, answer calls, direct requests for assistance to the proper individual).
  • Screens telephone callers in a pleasant and professional manner; handles calls, takes messages, or directs callers to the appropriate person or area.
  • Schedules routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized.
  • Prepares the daily schedule and refers inquiries regarding pre-authorizations/certifications to the Medical Secretary.
  • Responsible for patient check-in and check-out, including gathering patient demographic data, verifying insurance eligibility, collecting signatures on patient-related documents (HIPAA, MSPQ, ABN, etc.), and following up to gather missing information.
  • Scans necessary documents (insurance cards, lab requisitions, etc.) into the intake system.
  • Monitors the intake work queue for timely completion.
  • Refers patients with insurance or financial questions to the Business Office Associate.
  • Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff.
  • Types routine materials such as forms, letters, and envelopes accurately and neatly.
  • Answers patient questions to ensure understanding and satisfaction or refers them to more senior staff.
  • Maintains confidentiality on privileged matters.
  • Maintains and organizes files, completes filing according to departmental procedures, and distributes documents and forms.
  • Processes incoming and outgoing documents, secures appropriate signatures, and forwards documents to the correct destination.
  • Maintains supplies and cleanliness of the workspace, restocks supplies as needed, and notifies the supervisor of shortages.
  • Prepares routine memoranda, letters, labels, manuscripts, and other documents as needed.
  • Maintains workload statistics and other data for departmental records.
  • Primarily responsible for taking patient phone calls and scheduling over the phone, including collecting demographic data, verifying insurance eligibility, coordinating preauthorizations, and assigning appointments based on procedure and insurance coverage.
  • Post-appointment, coordinates interdepartmental scheduling for specialist visits, scans, and procedures in accordance with insurance coverage and physician directives.
  • Obtains pre-authorizations/certifications for treatments and diagnostic procedures, ensuring appropriate procedure and diagnosis coding is utilized.
  • May delegate and oversee the work of less senior staff.
  • Assists with special projects, reports, and activities, ensuring accuracy and completeness.
  • Maintains physician patient schedules, procedure schedules, appointment calendars, and Operating Room schedules.
  • Responsible for scheduling appointments for surgery and infusion procedures.
  • Performs other duties as assigned.

Requirements

  • High School diploma.
  • 3 years of relevant medical clerical experience, including prior physician practice experience and knowledge of medical terminology.
  • Background in computer literacy preferred.
  • Light, accurate keyboarding skills required.
  • Excellent organizational and interpersonal communication skills.

Preferred Qualifications

  • Knowledge of computer-based scheduling and appointment programs.
  • Excellent telephone skills.
  • Ability to effectively communicate with all levels of the organization.

Pay

The salary range for this role is $78,305.15 - $78,305.15 annually. Actual salaries depend on factors such as experience, specialty, education, and hospital need. The range does not include bonuses, incentive pay, differential pay, or other forms of compensation or benefits.
