Senior Executive Assistant
Key Responsibilities
- Keep the Executive Director informed about urgent matters, upcoming meetings, and events, ensuring their schedules are up-to-date and organized.
- Analyze incoming correspondence, prioritize tasks, summarize contents, and draft responses independently or redirect to relevant personnel as necessary.
- Cook up necessary travel arrangements for the Executive Director.
- Foster positive working relationships and liaise with internal and external stakeholders, collaborating effectively with other support staff.
- Coordinate and manage calendars for the Executive Director, scheduling meetings with external agencies, vendors, contractors, and overseeing meeting logistics.
- Conduct comprehensive research, compile data, and prepare reports and materials for presentations and review by the Executive Director.
- Plan and coordinate large scale events that often include Federal and State government officials and high-level leaders within UM System.
- Record and distribute accurate minutes for various committee meetings.
- Serve as liaison between the MURR administrator(s) and campus administrative offices as well as outside agencies in state and federal government or private industry and business partners.
- Apply discretion and good judgement by making independent decisions and maintaining confidentiality.
Minimum Qualifications
- A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.
- Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office gadgets and virtual meeting tools.
- Proven experience as an Executive Assistant, preferably with CEO or C-Suite level support.
- Strong written and verbal communication skills for drafting correspondence, reports, and interacting with various stakeholders.
- Demonstrated experience creating and fostering collaborative relationships with broad stakeholders.
Shift
Monday through Friday - 8AM to 5PM
Pay
Salary Range: $60,000 to $85,000/yr
