About the role

RTX BBN Technologies seeks a full-time Administrative Associate to provide administrative support for professional, technical, and engineering teams. This on-site role is based in Middletown, Rhode Island, and serves as the front-line representative for BBN’s Collaborative Administration Group (POST).

Responsibilities

  • Answer and direct calls on the main phone line using a multipoint phone system.
  • Serve as backup administrative support for other locations as needed.
  • Collaborate with administrative teams across RTX BBN.
  • Register and greet visitors using the approved Visitor Management System.
  • Manage package receipt, pickup coordination, and goods receipt entries.
  • Maintain security protocols at the front desk and reception area.
  • Keep the lobby, kitchens, and supply areas clean and organized.
  • Order and inventory office, kitchen, and maintenance supplies.
  • Escort visitors as necessary.
  • Maintain team calendars for events, vacations, and travel.
  • Become a subject matter expert on travel-related business policies and procedures.
  • Coordinate internal meetings, events, visitor arrangements, and catering setup.
  • Create and process trip/expense reports and vendor reimbursements in line with company policies.
  • Track and log travel claims, ensuring timely resolution within policy guidelines.
  • Arrange and assist with travel reservations, adhering to corporate travel policies.
  • Schedule and coordinate interviews for potential new hires.
  • Support new employee onboarding processes.
  • Coordinate and assist with export paperwork, including Business Courtesies and the Raytheon Global Export Management System (RGEMS).
  • Maintain company document repositories.
  • Support the Facility Manager with onsite vendor communications and maintenance coordination.
  • Serve as the Government Property Coordinator for the site, including system entries, barcoding, location tracking, and reporting.
  • Conduct annual internal property inventories and support customer audits.
  • Handle disposition requirements for closed contracts and monthly reporting for active contracts.
  • Maintain conference room calendars and ensure printers, fax machines, and copiers are operational.
  • Support Environmental, Health, and Safety (EHS) initiatives, including quarterly audits.
  • Coordinate with other business areas to foster a unified and cohesive environment.
  • Provide support for business changes, process improvements, and evolving requirements.
  • Travel to other BBN, RTX, teammate, or customer sites for meetings or business-related activities as needed.
  • Perform additional administrative and clerical duties as assigned.

Requirements

  • AA/AS degree (or other 2-year post-high school training) with a minimum of 6 years of relevant experience.
  • Experience with Microsoft Office 365 applications.
  • Ability to lift, carry, or move 27 lbs independently.
  • Ability to push, pull, or lift for office/conference setups.
  • U.S. citizenship required (eligibility for a U.S. government-issued security clearance).
  • Active and existing DoD Secret security clearance required after day 1.

Pay

The salary range for this role is $53,100 – $100,900 USD.
